Senior Administrative Specialist
Reporting directly to the Special Counsel to the Provost, you will provide executive-level support to the Special Counsel to the Provost and have independent responsibility for a significant volume and variety of operational and administrative responsibilities. You will work on a variety of projects with multiple constituencies ranging across faculty, staff, students, administrators, and external partners requiring a thoughtful approach and readiness for complexity. Our office has responsibility for the University's academic and budgetary affairs and this is a high visibility role.

- Maintain a complex calendar while anticipating needs and ensuring seamless operations.
- Coordinate in-person/virtual meetings and events including all logistics, technical needs, and the preparation of agendas and materials; ensure completion of follow-up items.
- Respond to inquiries, confidential matters and targeted email requests.
- Initiate and prepare written correspondence.
- Coordinate Regent communications for our office.
- Represent our office to a broad range of individuals while using customer service best practices.
- Assist the Special Counsel in managing high-visibility projects such as the Provost's Faculty Advisory Committee, New Leadership Orientation, Provost's contributions to Regents' meetings.
- Monitor the monthly calendar of our office and complete associated action items ensuring all deadlines are met.
- Oversee the annual review of executive committee appointments, off-cycle appointment changes and the routing of appointment letters.
- Process, reconcile and track reimbursements and corporate procurement cards.
- Coordinate contracts and submit expenses for executive coaches.
- Provide back-up support to the Executive Assistant to the Provost.
- Maintain a high level of integrity and professional conduct when working with colleagues, clients, and partners.
- 4+ years of administrative support experience in a complex organization
- Bachelor's degree or an equivalent combination of education and experience
- Knowledge and application of project management best practices
- Intermediate level analytical and research skills
- Expert level proficiency in Microsoft Office Suite, Adobe Acrobat, Drop Box, Zoom and Google collaboration tools
