Senior Executive, Admin Operations
Job Purpose
Reporting to the Senior Assistant Director, the incumbent will support the operations and administration of the Mind Science Centre (MSC), ensuring accuracy and compliance across financial management, procurement, gift processing, and grant administration. The incumbent may also provide support for educational programmes, secretariat duties, and event coordination, as required.
Duties & Responsibilities
Administration and Operations
- Support the day to day operations and administration of the Mind Science Centre (MSC), ensuring smooth and timely execution of administrative processes.
- Provide administrative support for Centre events, workshops, and meetings, including logistics coordination and post event follow up, as required.
- Assist in coordinating with vendors, speakers, and internal stakeholders to support the smooth delivery of events.
Financial Management and Compliance
- Assist in billing and budget tracking, maintaining accuracy and compliance with University financial policies.
- Support procurement processes, including purchase requisitions, vendor coordination, and payment processing
- Assist in the administration of grants, including tracking of grant utilisation, preparation of supporting documentation, and coordination with relevant stakeholders for reporting and audits.
Gift Administration
- Support gift processing and administration, including documentation, tracking, and coordination with relevant University offices, in compliance with NUS fundraising governance requirements.
- Maintain accurate records of gifts and donations and support reporting as required by Centre management.
Educational Programme and Secretariat Support
- Provide administrative and secretariat support for educational programmes, as required, including preparation of papers, minutes, and coordination of meetings.
Support basic programme administration tasks, such as scheduling, logistics coordination, and communication with internal and external stakeholders, where applicable.
Other Duties
- Perform other administrative duties and ad hoc tasks as assigned to support the operations of the Centre.

Qualifications
- Degree in a related discipline with at least 3 years of relevant working experience.
- Strong organisational skills, attention to details, and able to work effectively with multiple stakeholders in a dynamic environment.
- Able to communicate well (spoken and written) across all levels.
- Proficient in Microsoft Office.
- Meticulous, proactive and resourceful.
- Tact and discretion in handling confidential information.
