About CPO: The Central Procurement Office (CPO) is the National University of Singapore’s strategic hub for sourcing and supplier management. Build and maintain strong relationships with stakeholders including internal departments, teams, end users and external suppliers by managing Purchase Order and Goods Receipt matters and supporting various ad hoc projects. Provide advice and guidance to users on procurement policies and procedures as well as on the use of procurement systems. Provide operational support in the eProcurement system including creation, amendment and cancellation of Purchase Orders as well as processing of Goods Receipts and Returns. Assist Team Lead/co-lead to oversee daily A.S.K. operations and resolve technical issues related to Procurement Operations service requests and Procurement Support enquiries. Act as a helpdesk case agent by handling enquiries and resolving system-related technical issues. Support SLA monitoring and escalation processes for A.S.K. and Ariba, including preparation of data reports. Administer and maintain catalogue contracts in the eProcurement system including uploading and downloading, and update content on the PROCTOR website. Proactively identify and implement improvements to optimise and streamline procurement operations for greater efficiency. Spearhead process optimisation by providing insights and proposals for improvement. Assist Team Lead/co-lead in managing daily operations and mentoring team members to ensure operational excellence. Facilitate knowledge sharing by developing training materials, guides and best practices to coach individuals or the entire team and deliver presentations. Review team structure and capabilities to assign tasks effectively and recommend relevant courses. Assist Team Lead/co-lead in supporting key strategic initiatives such as Business Continuity Planning (BCP), SLA management, supplier engagement and AI adoption. Execute and plan department-level Business Continuity Plan procedures. Participate in AI-Create system testing and provide feedback for CPO policies. Identify opportunities for AI-driven automation of routine tasks such as Purchase Order creation and data analysis to enhance efficiency and reduce human error. Assist Team Lead in Shared Services Change Management initiatives and follow up on related content or action items. Perform any other ad hoc duties as assigned by the Team Lead.
Qualifications
Degree in any field. At least 2-3 years of relevant procurement operations experience. Customer service focus with excellent inter-personal, analytical, and communication skills. Team player with keen interest to learn in a dynamic environment. Resourceful with strong attention to detail. Able to demonstrate commitment to deadlines with excellent time management and problem-solving skills. Experience as a change agent in an organisation. Familiar with e-procurement systems (Ariba, SAP S4 Hana) and proficient in MS Office. Able to analyse Power BI and present data for management reports.
