Senior Executive (Division of Graduate Medical Studies) (2-year contract)

At the Division of Graduate Medical Studies, we aim to promote postgraduate training and education for medical professionals in Singapore; to accredit training programmes; and to offer examinations leading to specialist qualifications.
As part of this team, you will be responsible for the provision of end-to-end administration of postgraduate medical programmes. To succeed in this position you are required to have strong project management skills and ability to "think on your feet" as you manage internal and external stakeholders.
Roles & Responsibilities
1. Programme Management & Administration
- Manage the end-to-end administration of postgraduate medical programme(s), ensuring delivery in accordance with approved timelines and requirements
- Coordinate programme logistics, including scheduling, resource planning, and stakeholder engagement
- Liaise with internal departments and external partners (e.g. healthcare institutions, regulatory bodies) to support programme execution
- Monitor programme progress, identify potential issues, and support timely resolution to minimise disruptions
- Support continuous improvement efforts through post-programme reviews and feedback analysis
2. Secretariat & Stakeholder Coordination
- Provide secretariat support to Exam and Course Committees, including meeting coordination, preparation of materials, and accurate minute-taking
- Track follow-up actions and ensure timely closure of key decisions and deliverables
- Communicate effectively with faculty, examiners, lecturers, and clinical coordinators to ensure alignment and readiness for programme activities
- Handle sensitive and confidential information with professionalism and discretion
3. Examinations & Post-Assessment Operations
- Coordinate logistics for examinations, including venue arrangements, examiner coordination, and candidate administration
- Support marks collation, tabulation, and verification processes, ensuring accuracy and integrity
- Manage post-examination processes, including preparation of results, reports, and documentation for Board of Examiners
- Maintain proper records of examination materials, question banks, and statistical reports for audit and reporting purposes
Qualifications
- A Bachelor's Degree in any discipline.
- Prior experience in the healthcare/medical industry would be useful but not essential
- Effective verbal and written communication skills to coordinate well with stakeholders
- Strong problem-solving and quick-thinking abilities to adapt to programme requirements
- Proficiency in Microsoft Excel to write formulas related to examination marks algorithm.
- Availability to work approximately 2 weekends per month to facilitate the administration of programmes
