Job Description
The Office of Graduate Medical Education and our clinical affiliates provide a diverse mix of ACGME-accredited training programs and exciting research opportunities across a broad range of specialties.
Performs a variety of independent, specialized operations support duties for the assigned department or office. Executes documents and reports on business and fiscal operations.
Nature of Work
- Understands how the team integrates with others to accomplish team/area objectives
- Researches and analyses atypical/complex data and prepares reports (e.g., budget, revenue), noting key issues and patterns in the data
- Solves routine and complex problems and identifies new, less obvious solutions
- Impacts the quality, timeliness and effectiveness of the team through planning, organization, coordination, and occasional oversight
- Uses discretion to modify work practices and processes to achieve results or improve efficiency
- Independently completes assignments of varying degrees of complexity
- May serve as an informal resource/mentor and/or supervisor of less experienced team members
Administrative and Operational
- manage and coordinate multiple responsibilities for School of Medicine Residents and Fellow's and to provide significant support and assistance to the Graduate Medical Education office as needed.
- Oversee daily office operations for the GME Department
- Maintain accurate records and documentation in compliance with ACGME and institutional requirements.
- Supervise file management in Graduate Medical Education office including scanning/file rotation and upkeep.
- Assist in maintaining GME databases including New Innovations and spreadsheets.
International Medical Student Management
- Process J1 Visa materials for incoming Resident/Fellows plus track and manage all renewal processes
- Serve as ECFMG TPL for the UMKC SOM Sponsoring Institution
- Serve as primary point of contact on IMG communication with programs' leadership.
- Utilize New Innovations for efficiency and tracking of IMG onboarding
GME and Program Support
- Support program coordinators, directors, and faculty in managing residency/fellowship programs.
- Manage and plan GME-sponsored events (e.g., GME Orientation, Town Hall, Program Coordinator Retreat, Trainee Appreciation, Suicide Awareness Day).
Trainee Compliance
- Coordinate licensure processes for Residents/Fellow's including temporary, permanent and renewals
- State Legal Expense Fund (SLEF) process and save forms and communicate with UH Legal
- Maintain current knowledge and paperwork for Step #3 applications and facilitate timely processes
- Understand/track and process Bureau of Narcotics and Dangerous Drugs (BNDD) applications and renewals for Residents/Fellow's
- Assure compliance with educational modules for University, School of Medicine, and clinical affiliates.
Personnel and Communication
- Serve as liaison between GME office and other departments (HR, payroll, and IT), and clinical affiliates (UH Legal)
- Respond to inquiries from trainees and external stakeholders.
Shift
On-Site hours of operation are Monday-Friday, 8:00 am - 5:00 pm.
This position is eligible for hybrid in-office and work-from-home scheduling with supervisor approval.
Minimum Qualifications
A Bachelor's degree or an equivalent combination of education and experience and at least 2 years of experience from which comparable knowledge and skills can be acquired is necessary
Preferred Qualifications
Experience working in Graduate Medical Education Office, advanced knowledge of New Innovations, previous work with IMGs
- Possesses both a broad and deep understanding of the job
- Has full proficiency of processes, procedures, systems, etc. gained through knowledge and/or experience
- Applies knowledge of practices and specialty area(s) and experience to complete work
Anticipated Hiring Range
$18.87 to $24.50 per hour, commensurate with experience, education, and internal equity.
