SUMMARY

JOB DESCRIPTION

This is a senior-level administrative support position responsible for coordinating and assisting in planning, organizing, and performing a wide variety of advanced administrative and program support functions. Responsible for coordinating and participating in the administrative functions supporting the department; assisting in planning, evaluating, implementing, and monitoring progress towards the realization of program goals and objectives; reviewing and revising program procedures to increase efficiency and effectiveness; and providing customer service and support to program-related contacts. Works under limited supervision, with considerable latitude for the use of initiative and independent judgment. Reports to department chair.

QUALIFICATIONS

Bachelor’s degree in a related field is required. Related experience may be substituted for required education on a basis set forth by the Department of Human Resources.

One year of related experience is required. Experience in general office practices and procedures is required. Experience in use of computer (word processing, database, and spreadsheet applications) is required.

ESSENTIAL JOB FUNCTIONS

  1. Types/inputs various documents as well as routine and confidential correspondence.
  2. Prepares and posts payroll, receipts, vouchers, journal and ledger entries, logbooks, etc.
  3. Monitors and maintains departmental budget(s) and inventory. Purchases equipment and orders supplies as necessary. Provides input for annual departmental budget.
  4. Prepares routine and special reports, including financial; may compile statistical data and prepare various studies of departmental activities.
  5. Maintains time records, payroll, accounts receivable, accounts payable and other departmental records.
  6. Tracks grants awarded to faculty members to include maintaining budget and accounting records as well as ordering supplies for grant projects.
  7. Creates work order requests for department, assists vendors when on campus to perform maintenance, and ensures lab equipment is maintained.
  8. Maintains monthly mileage logs and maintenance records on departmental vehicles.
  9. Processes electronic personnel action forms related to faculty, staff, and students. Reviews time records for accuracy and budgetary conformity.
  10. Supervises assigned staff, including student assistants.
  11. Assists chair in creation of course schedule for each semester.
  12. Schedules rooms for student classes and activities and oversees key checkout for teaching assistants.
  13. May assist in counseling students to include giving student permits, removing holds, and completing class section changes, and providing information relating to the function of the department.
  14. May approve and sign requisitions, vouchers, and other routine documents.
  15. May act on administrator’s behalf in their absence.

The individual must possess the following knowledge, skills, and abilities or be able to explain and demonstrate that the individual can perform the essential functions of the job, with or without reasonable accommodation.

  2. Knowledge of, or the ability to learn, university and departmental degree requirements.
  3. Organizational skill in managing projects simultaneously while maintaining a satisfactory work product.
  4. Skill in using computer applications including spreadsheet, database, and word processing software.
  5. Skill in completing assignments accurately with attention to detail.
  6. Ability to communicate effectively in both oral and written form.
  7. Ability to establish and maintain a good rapport with university faculty and staff, students, and the general public.
  8. Ability to plan, implement and evaluate program activities.
  9. Ability to identify problems, evaluate alternatives, and recommend effective solutions.
  10. Ability to accurately prepare and maintain records, files, and reports.
  11. Ability to learn office and university-specific software.
  12. Ability to work with and maintain confidential information.
  13. Ability to train and supervise others.
