Purpose of the Role
To provide leadership, oversight, and operational stewardship across academic administration, programme delivery, quality assurance, and institutional governance. The role ensures full compliance with regulatory and sector frameworks, maintains accurate and robust academic records and documentation, and supports an excellent experience for both students and staff. It requires strong organisational capability, meticulous attention to detail, and the ability to work collaboratively and influence effectively across academic and professional services teams.
Key Responsibilities
- Programme Administration
- Lead the administration of taught programmes, ensuring accurate and timely information for staff and students.
- Maintain programme and module documentation, including handbooks, module specifications, programme amendments, and approval paperwork.
- Maintain programme information across systems such as the VLE, student records system, and SharePoint.
- Provide high-quality frontline leadership and support to students on assessments, regulations, progression, and programme requirements.
- Maintain curriculum information and support module/course modification processes.
- Assessment & Examination Operations
- Manage the preparation, moderation, and scrutiny of examination papers and marking guidelines.
- Support assessment mark entry, data validation, and the management of assessment workflows.
- Maintain accurate assessment records and ensure documentation is audit‑ready.
- Liaise with external examiners, including distribution of materials, coordination of visits, and responding to queries.
- Produce reports and documentation for Examination Boards and other governance bodies.
- Quality Assurance & Regulatory Compliance
- Spearhead institutional quality assurance processes, including programme approval, modification, and periodic review.
- Provide guidance to academic and professional services colleagues on academic regulations, policies, and procedures.
- Manage academic misconduct casework, including evidence collation, liaison with misconduct officers, and updating student records.
- Maintain compliance documentation for internal and external audits (e.g., OfS, QAA, awarding body requirements).
- Contribute to monitoring and reporting on academic KPIs such as progression, retention, and achievement.
- Systems & Process Development
- Administer Ellucian and support effective student record management.
- Contribute to process improvement and digital transformation initiatives across academic operations.
- Develop and maintain efficient administrative systems to support programme delivery and quality assurance.
- Stakeholder Engagement & Cross‑Institutional Collaboration
- Work collaboratively with academic staff, professional services teams, and partner institutions.
- Act as a point of contact for academic staff regarding operational matters.
- Provide training and guidance to staff on academic policies, procedures, and systems.
- Events, Student Support & Operational Duties
- Support open days, induction events, and other student‑facing activities.
- Provide flexible support during peak periods (e.g., enrolment, assessment, Examination Boards).
- Undertake any other duties commensurate with the role.
Experience and Knowledge
- Extensive experience in academic operations and quality assurance.
- Strong knowledge of UK regulatory frameworks (OfS, QAA, GDPR).
- Proven ability to manage complex processes and multiple stakeholders.
- Experience with student record systems (e.g., Ellucian, SITS).
- Experience maintaining programme documentation and supporting assessment processes.
