Description:
Reporting to the Director of Operations, the Senior Support Specialist performs a full range of senior secretarial support for Faculty Affairs and Academic Programs in the Office of the Dean HCLAS,supporting primarily the Associate Dean for Faculty Affairs & Academic Programs.
- Maintain and update tracking systems and faculty personnel records related to tenure, promotions, annual evaluations, and appointments.
- Monitor workflow progression, ensuring all documentation is complete and following up on missing materials with department chairs and committees.
- Generate and manage deadline reminders to support timely submission and review processes.
- Compile and organize Course and Teaching Rating (CTR) summaries using Banner course history reports.
- Coordinate committees and subcommittees, including tracking progress, organizing meetings and events, and preparing agendas and minutes for the Curriculum Committee.
- Process faculty and adjunct appointments, including job postings, hiring documentation, background checks, and onboarding.
- Maintain departmental files, directories, rosters, and related reports.
- Perform additional duties consistent with the scope and level of the position.
Qualifications:
- High-school diploma and prior related administrative/secretarial experience, preferably in higher education.
- Ability to prioritize, work on own initiative and perform detailed work with high accuracy.
- Ability to handle confidential information with discretion and professionalism.
- Strong written and verbal communication skills
- Proficiency in Microsoft Office, particularly Excel, Adobe, and the Google Suite. Ability to learn and support enterprise systems such as Banner, PeopleAdmin, Modern Campus, SharePoint, and Google Drive.
Preferred Qualifications:
- Experience supporting faculty personnel processes (reappointment, tenure, promotion).
- Experience with Banner, PeopleAdmin, Modern Campus, Canvas, or similar academic workflow systems.
- Experience in academic administration within a college or university setting.
