Senior Transcript Evaluator
Position Summary
Reporting to the Registrar, the Senior Transcript Evaluator is responsible for establishing and maintaining processes used in the review and evaluation of academic records. The Senior Transcript Evaluator reviews, evaluates, and processes incoming transfer credits from other colleges and universities to determine equivalency and how transferred courses will apply to satisfy North Central's admission, prerequisite, and degree requirements. The position ensures timely and accurate awarding of transfer credits, thereby supporting enrollment and registration processes. The Senior Transcript Evaluator assists with the development of transfer articulation agreements, maintenance of the Transfer Evaluation Systems (TES), and other related services.
Description of Key Responsibility
- Review and evaluate academic transcripts from other institutions and award transfer credit based on established articulations agreements, course equivalencies, and guidelines. Respond to inquiries regarding rationale for decisions made. Ensure that all transcripts are authenticated as valid, by examining document format and sources.
- Identify potential new course equivalencies and articulation rules, examining reference materials, and consulting when needed, in order to establish new rules.
- Adjust records to account for repeated coursework as necessary to ensure accurate and fair academic records; including calculation of GPA and determination of credit hierarchy.
- Regularly self-audit work to ensure accuracy in data entry processes, such that student records accurately reflect the student educational experience and outcomes.
- Assist the Registrar in the production, maintenance, and annual revision of all college articulation agreements. Agreements are made available within the student information system and in a format accessible to prospective students, admissions counselors, and success coaches.
- Update the TES/Transferology system through bi-annual uploads, ensuring accurate data is submitted. Make corrections in TES/Transferology system as necessary following upload. Cross reference corrections in student information system.
- Review Request to Transfer Coursework (TCWF) forms. Determine if courses will transfer, equivalency of courses, which degree requirements may be satisfied, and whether all guidelines are being followed. Determine if coursework will violate residency requirement. Communicate to students the result of their requests. Track students with active TCWF forms for transcript follow-up and/or restrictions and remove students from courses where enrollment requires successful completion of the course listed on the TCWF. Evaluate and apply completed transfer credit.
- Actively maintain a comprehensive understanding of the North Central College curriculum and related academic policies, regulations and articulation agreements.
- Maintain reference materials used in performing transcript evaluations, and participate in process improvements to ensure accuracy, consistency, and efficiency in transfer credit evaluations.
- Guide and assist those who work with transfer students to understand transfer policies, articulation agreements, and the transcript evaluation process.
- Collaborate with the Academic Records Coordinator concerning repeated courses, AP and CLEP credit, and general maintenance of academic records of official transcripts.
- Work closely with student employees to ensure the accurate retrieval of official transcripts from the Slate system and shared drive, ensuring student records are identified properly by population grouping. Assist student employees in understanding tracking and filing systems.

- Assist with front desk duties, including registration, processing forms, answering phones and other routine functions as appropriately assigned.
Education/Training
A bachelor's degree or equivalent work experience is required; bachelor's degree preferred.
Experience
A minimum of two years' experience working in a Registrar's Office evaluating transcripts and/or working with academic records is highly preferred.
