Job Description
The person in this position will work closely with campus partners, academic departments, and external constituents to meet the short- and long-term goals of the institution by utilizing Slate to manage prospective students through enrollment. The management of Slate may include the following tasks:
Application Management
- Develop and update fields, prompts, interactions, and rules.
- Create and maintain application processes, materials, and checklists.
- Build and refine application review processes, reader forms, and online admission procedures.
- Establish and update reports and queries to provide programs with access to their data.
- Manage external and internal portals, including content updates.
- Maintain quality assurance and control, including merging duplicate records, managing annual cycle preparation, and updating prompts/fields/interactions.
Communication & Marketing Management
- Construct, update, and manage communications related to applications.
- Compose and send communications to prospective students.
- Collaborate with MCOM to track digital marketing ads in Slate using UTMs and interactions.
- Design and analyze reports related to communication plans and marketing efforts.
- Basic HTML skills desired
Event & Interview Scheduling
- Assist units and admissions with event creation, management, and communications
- Build event landing pages or embedded forms
- Maintain counselor portal with Slate.org
Technical Integrations
- Liaise with the Business Office to manage TouchNet payments and refunds.
- Work with DSAS and technical staff to integrate data into student information systems.
- Maintain and monitor data exchanges between Slate and internal/external systems.
- Ensure data integrity by identifying discrepancies and implementing quality control checks.
- Facilitate data loads to the SIS when necessary.
- Manage Slate support ticket requests from university departments, delivering high-level troubleshooting and responsive, customer-focused support.
- Submit IT and EAS support tickets to resolve problems as needed
User Management
- Manage user access and add new population groups as needed.
- Develop and update user roles and custom permissions for staff and faculty
- Assists with access / deactivation of users within the CRM
Training
- Update training plans, training documentation and conduct training sessions related to using Slate for processes
- Manage client and departmental relationships to ensure client needs and expectations are being met.
- Creates and maintains business reference guides on system operations and database maintenance functions
Recruitment Support
- Maintain current knowledge of admissions deadlines, program requirements, and institutional offerings.
- Occasionally support recruitment events (e.g., orientation, campus tours, open houses).
- Serve up to four "Primary Shifts" per month at the front desk, assisting with applicant inquiries and directing students as needed.
- Help respond to prospective student communications during peak periods
Other Expectations
- Ability to diagnose and troubleshoot system errors.
- Understand the recruitment funnel and the steps applicants must take from inquiry to enrollment.
- Ability to develop strong business relationships and build consensus.
- Demonstrated work ethic and ability to produce deliverables independently.
- Strong team player.
- Excellent writing, communication, and time management skills.
- Supervise and support student / graduate intern staff.
- Experience with Slate and / or other CRMs
- Familiarity with application data exchanges from sources such as: Common App, Liaison, Parchment, and the National Student Clearinghouse.
- Knowledgeable of a Student Information System (SIS) like Peoplesoft or similar programs.
- Perform other duties as assigned.
Shift
Hours of operations are Monday-Friday, 8:00 am - 5:00 pm. To support the Office of Admission's role as a forward-facing office to the public and applicants, CRM Operations staff are expected to adhere to regular in-office hours. This position is eligible for hybrid-remote scheduling options.
Minimum Qualifications
A Bachelor's degree or an equivalent combination of education and experience and at least 3 years of experience from which comparable knowledge and skills can be acquired is necessary
Preferred Qualifications
- 3 years of direct CRM experience preferred (SLATE experience strongly preferred)
- Experience managing automated workflows in CRM systems preferred
- Experience working in Higher Education preferred (working in Admissions experience strongly preferred)
- Familiarity working with large data sets for data integrity
Anticipated Hiring Range
$52,915.20 - $60,000 commensurate with experience, education, and internal equity.
