Special Assistant to the CFO
Position Purpose
This position provides direct administrative support to the Chief Financial Officer, including the primary objectives of assisting the CFO in his/her daily work to make certain that identified priorities are addressed in a timely fashion and helping to ensure that use of the CFO's time is focused on critical, strategic issues.
Essential Duties Summary
- Provide direct administrative support to Chief Financial Officer including but not limited to: maintaining the CFO's calendar and schedule, organizing travel plans, opening, sorting and prioritizing incoming mail, filing, answering the phone, generating letters/memos and preparing correspondence.
- Prepare and distribute agenda and other materials including taking minutes for meetings called by or staffed by the CFO (e.g., Trustee meetings, Budget Advisory Committee).
- Support CFO with special projects (e.g., gathering background information, researching issues, preparing executive summaries, reports, and other materials, coordinating with other departments to secure materials requested).
- Support CFO with budget requests, allocations, and documentation.
- Coordinate the submissions of data and/or materials/collections to ensure compliance and documentation related to federal, state, and regional regulatory reporting requirements, including various compliance reporting (working with the CFO.
- Assist in the coordination of the annual A-133, 403(b) and financial audit.
- Review and manage the approval of drivers and the update of the approved driver's list.
- Work closely with the AVP of Finance in regards to the cash flow projections.
- Handle confidential matters for the CFO, as requested, including interactions with departments within the Finance and Administration division and throughout the College.
Required Qualifications
Education
- Bachelor's degree
Experience
- 2-3 years' relevant clerical and administrative experience in administrative assistant role
- Experience in a higher education setting (preferred)
- Experience in administrative and personnel management, strategic data management, project planning and management, and budget planning and management
Skills and Knowledge
- Excellent written/verbal communication skills
- Keen attention to detail
- General understanding of accounting terminology
- Strong computer skills: Proficient in MS Office products (Microsoft Word, PowerPoint, and Excel); Banner skills preferred
- Excellent organizational and prioritization skills, with the ability to balance multiple issues and projects in a fast paced environment
- Ability to work independently
- Sensitivity and discretion with regard to confidential information
- Ability to interact positively with a wide range of key constituents
