Job Description Job Summary: Reporting to the Director of Management and Leadership Development, in the Center for Workplace Development (CWD), with dotted line reporting relationships to the Sr. Director, Executive and Organizational Effectiveness and the Director, Employee Learning and Development, this position provides coordination for a variety of projects, programs, and initiatives across the Center for Workplace Development on campus and virtually. The programs and initiatives supported by this position are designed for a variety of audiences and provide an opportunity to work with Harvard employees at all levels across the university.  Job-Specific Responsibilities: Provides customer service support for a suite of programs and coaching services; manages inboxes; responds to inquiries in a timely manner directly, or through close collaboration with CWD colleagues and partners in schools/units. Prepares presentation materials and handouts; creates new, updates existing, and distributes for classes, programs, projects and initiatives; develops accessible documents in accordance with Harvard’s policy. Moderates and provides technical assistance to virtual and hybrid offerings; prepares and distributes materials for on campus programs, meetings, and classes. Receives, reviews, and processes cohort program applications; reconciles eligibility and enrollment concerns and questions.   Coordinates annual cohort program planning process; schedules dates, creates enrollment materials and collateral for program managers, human resources, nominees, and nominators; coordinates catering, and reserves rooms. Updates adjunct instructor contracts, assists with release time, communications. Coordinates 360° and other assessments for CWD programs; tracks participant progress, sends group and individual reminders, coordinates reports, reconciles access issues. Distributes pre and post program evaluations and synthesizes data. Supports key CWD projects and initiatives; schedules meetings and provides administrative support.   Supports focus groups with notetaking and administration.   Serves as back up for CWD Registration Coordinator and HR Operations and Analytics Staff Assistant. Serves as point person for the CWD SharePoint site. Other duties and projects as assigned.  Work Format Details This is a hybrid position that is based in Massachusetts. Please note that this role involves time on-site, including time on-site with little notice. Commutable distance to Cambridge will be key to the successful performance of this role. Additional details will be discussed during the interview process. All remote work must be performed within one of the Harvard Registered Payroll States, which currently includes Massachusetts, Connecticut, Maine, New Hampshire, Rhode Island, Vermont, Georgia, Illinois, Maryland, New Jersey, New York, Virginia, Washington, and California (CA for exempt positions only). Certain visa types and funding sources may limit work location. Individuals must meet work location sponsorship requirements prior to employment. Qualifications Basic Qualifications: Minimum of 5 years related work experience required. Related work experience includes administrative support, program support, event coordination, or customer service. Proficiency in Microsoft products: Outlook Mail & Calendar, Excel, Word and PowerPoint required.  Additional Qualifications and Skills: Bachelor’s degree strongly preferred, or an equivalent of education plus relevant business experience. Strong interest in a career in the field of learning and development preferred. Experience with Qualtrics or other survey creation tools. Experience with Adobe. Effective communication skills, both written and oral, comfortable communicating with employees at all levels. Demonstrated customer service orientation and experience. Proven problem-solving skills; critical thinking, creativity, judgement, and decision-making. Demonstrated ability to work in a deadline driven environment managing concurrent priorities for multiple stakeholders. Demonstrated attention to detail and reliability on project and task follow-through. Proven ability to work independently and as part of a team. Self-starter with an eye towards project and program efficiency and improvement. Capacity to develop and maintain strong professional relationships across the organization and to work collaboratively with colleagues. Interest in the field of learning and development preferred. Additional Information Standard Hours/Schedule: 40 hours per week Position may have at times onsite requirements with short notice.  Ability to quickly commute to Cambridge will be key to the successful performance of the role.   Visa Sponsorship Information: Harvard University is unable to provide visa sponsorship for this position. The work schedule and location will be set by the department at its discretion and based upon operational needs. When not working at a Harvard or Harvard-designated location, employees in hybrid positions must work in a Harvard registered state in compliance with the University’s Policy on Employment Outside of Massachusetts .
