Job Description
Overview:
The School of Medicine and the Department of Medicine are excited to announce the opening for a Student Support Specialist Sr. This position will serve as a Fellowship Coordinator within the Department of Medicine, playing a key role in the administration and support of fellowship programs. Reporting to the Vice Chair of Medical Education for the Department of Medicine, this individual will coordinate program operations, support assigned divisions, and ensure compliance with institutional, hospital, and accreditation standards.
Key Responsibilities:
- Fellowship Program Coordination:
- Serve as the primary coordinator for assigned fellowship program(s) within the Department of Medicine.
- Collaborate closely with Program Directors, Division Directors, Managers, Supervisors, and Mentors to ensure adherence to policies, procedures, and accreditation standards.
- Review, analyze, and assist in the development of fellowship program goals, objectives, and timelines.
- Administrative & Operational Support:
- Manage and track fellowship program documentation, including approvals, evaluations, and trainee records.
- Provide administrative support and documentation to previous, current, and prospective fellowship participants.
- Maintain accurate databases and ensure timely submission of required reports to internal and external entities.
- Conference and Event Coordination:
- Plan, manage, and coordinate all aspects of fellowship division conferences and events.
- Oversee logistics, including scheduling, communications, and tracking necessary paperwork for approvals.
- Relationship Building & Collaboration:
- Develop and maintain effective working relationships with departments such as Graduate Medical Education (GME), Hospital Human Resources, and other internal and external stakeholders.
- Act as a liaison between the fellowship program and affiliated departments, ensuring smooth communication and program alignment.
- Leadership & Special Projects:
- Assume a leadership role in the fellowship program by streamlining processes and implementing best practices.
- Manage special projects and initiatives as assigned by the Vice Chair of Medical Education.
- Support strategic initiatives related to program development and growth.
- Technology and Tools:
- Utilize computer programs such as Microsoft Office (Word, Excel, PowerPoint, OneNote) and Adobe Suite to manage fellowship records, communications, and reports.
- Participate in on-the-job training to gain additional system-specific knowledge and program coordination skills.
Shift
Monday – Friday
8:00 a.m. – 5:00 p.m.
Minimum Qualifications
A Bachelor's degree or an equivalent combination of education and experience and at least 2 years of experience from which comparable knowledge and skills can be acquired is necessary.
