Position Summary:
The Staff Assistant for Professional, Corporate, and Community Education plays a key role in the day-to-day operations of several noncredit programs, including Senior College, the Executive Leadership Institute (ELI), and other professional development offerings.
This position requires a highly organized, detail-oriented individual who can manage multiple programs, timelines, and partnerships simultaneously while maintaining a strong commitment to exceptional customer service and inclusive practices. The Staff Assistant will serve as a primary point of contact for participants, instructors, and partner organizations, ensuring that all programs run smoothly from registration to completion.
The Staff Assistant will be responsible for assisting Senior College members with completing their applications, processing payments, ensuring that they receive BSU credentials, and have access to technology and other resources necessary for them to access their courses. The Staff Assistant will work with the Director and external partners to schedule Senior College courses, coordinate the logistics for both in-person and virtual courses, and will work with faculty on technology and access issues. This person will also assist with the administration of ELI, including assisting with planning for both virtual and in-person events. Duties will also include assisting with marketing activities such as the creation of newsletters and social media marketing posts.
The ideal candidate will be equity-minded, patient, highly organized, and responsive, particularly in working with older adult learners.
As a member of the College of Continuing Studies Team, the Staff Assistant will assist in office coverage, including our reception desk, phones, and general email accounts on an as needed basis.
The Schedule for this position is Monday-Friday (Saturdays and Sundays as days off, occasional evening and weekend hours may be required.)
This position is located on campus in Bridgewater, MA. This position may be eligible for hybrid or remote work in accordance with BSU remote work policy.
This is an exempt, APA unit position and is subject to the terms of that union agreement.

Essential Duties:
- Coordinate course and event programming for Senior College and other Corporate and Community programs, working closely with the Director, the Associate Director, the part-time Program Assistant and external community partners.
- Act as a liaison with off-campus partner sites (Plymouth, Attleboro, Norton, East Bridgewater, Sandwich, Bridgewater) to ensure seamless delivery of in-person courses.
- Manage multiple program calendars, schedules, and logistics for both in-person and virtual courses/events.
- Track and maintain detailed program data (enrollment, participant outcomes, marketing analytics, etc.).
- Process instructor and consultant stipends, ensuring timely and accurate payments.
- Prepare correspondence, announcements, and marketing communications as needed.
- Administer and monitor departmental budgets with a high level of accuracy: create and process invoices, requisitions, purchase orders, and track departmental expenditures and payments.
- Assist with office coverage, including reception, phones, and email accounts, as needed.
- Perform other duties as assigned.
Required Qualifications:
- Experience working with older adults and/or demonstrated transferable experiences that establish a desire to exercise significant patience and understanding for older adult learners, while in the pursuit of exemplary customer service and support for this population.
- Advanced computer skills, including proficiency in Microsoft Excel, Word, Outlook and other web-based applications.
- Must be able to identify, organize, and prioritize multiple job responsibilities.
- Must have the ability to carry out responsibilities with limited supervision.
- Experience with financial management tasks, including creating invoices, requisitions, purchase orders, and tracking payments or budgets.
- Excellent verbal and written communication skills, strong interpersonal skills, and attention to detail are required, as is flexibility and a positive attitude.
- Demonstrated commitment to equity and inclusion in administrative or customer service work.
- Ability to adapt to changing priorities and multi-task.
- Valid drivers license and the ability to occasionally drive to off-site locations when needed.
- Bachelors degree.
Preferred Qualifications:
- Experience in an educational or nonprofit setting supporting community or continuing education programs.
- Familiarity with student information systems (Banner and CampusCE), CRM systems (Element451), and event management systems (EMS).
- Masters degree in education, public or business administration, human resources, or related degree.
