Student Administration Officer

- Full-time (100%), permanent position in a busy, professional team
- Base salary will be in the range $82,133.75 - $91,295.49 + 17% Superannuation (HEW Level 5)
- Based at our St Lucia Campus
About This Opportunity
With the largest cohort of postgraduate students within the University, we are seeking a motivated, energetic and organised Student Administration Officer to provide a high level of professional service to students, academics and other key stakeholders within the Business School. You will be responsible for completing a diverse range of administrative processing tasks including managing a cohort of current and prospective postgraduate students, assisting with the design and development of class timetable activities, and support assessment, examination and misconduct related activities within the School.
Key responsibilities will include, but are not limited to:
- Provide accurate and timely advice to current and prospective students and process documentation in relation to admissions, enrolment, progression, exchange studies, graduation matters, etc. in postgraduate programs within the Business School
- Apply a sound general knowledge of student administration and develop specific knowledge of University rules, policies and procedures relating to student and academic administration
- Contribute to the development and implementation of administrative procedures and projects for the continued improvement of procedures in the School.
- In consultation with the Business School’s Timetable Coordinator and relevant academic staff, generate class timetables for Business School programs, including data collection, validation, configuration, and scheduling of teaching activities
- Provide day-to-day support and advice to academic and professional staff regarding timetable and room booking matters, including managing complex or escalated queries
- Assist in assigning casual staff to courses in the Casual Academic Hire & Payment (CAHP) system, and other duties as required by the supervisor
- Assist the Examinations Coordinator with assessment, examination and misconduct related activities for the School in accordance with UQ polices and School based procedures
- Represent the Business School at UQ Open Day, graduation ceremonies, postgraduate webinars and other events as required
- Assist the Senior Coordinator, Student Administration and/or Senior Manager, Academic & Administration Manager on matters relating to student and academic administration
- Undertake other duties as reasonably directed by your supervisor

About You
You are a proactive and detail-oriented administrator with experience in student services or academic administration. You work collaboratively in a supportive team environment, confidently manage multiple priorities, and adapt well to cyclical academic workflows. Your strong organisational skills and initiative make you a valuable contributor to postgraduate student support, timetabling, and assessment processes, ensuring tasks are completed accurately and on time.
Additionally you will demonstrate:
- An undergraduate degree in a relevant area or an equivalent combination of relevant experience and/or education/training. Demonstrated ability to identify and analyse issues, innovative problem solving and improvement of administrative systems and procedures.
- A sound understanding of key administrative processes relating to student and academic administration, particularly in relation to enrolments, progression, timetabling functions and assessment policy and procedures. Proven ability to work under pressure and manage competing priorities with high levels of accuracy.
- Highly developed interpersonal communication, negotiation, and conflict resolution skills.
- Demonstrated experience in the provision of a high level of customer service.
- Experience and knowledge of student and academic administration in a higher education setting, or the ability to quickly acquire this.
The successful candidate may be required to complete a number of pre-employment checks, including: right to work in Australia, criminal check, education check etc.
