This is a one-year temporary position in the McGill Engineering Student Centre, with the possibility of renewal. This position will support the newly created Bachelor of Global Engineering, a joint undergraduate program between CentraleSupélec and McGill University’s Faculty of Engineering.

Position Summary:

Provide the integration of McGill's values, standards, and goals with respect to student life and learning into University policies, operations and procedures. Ease students’ integration into University life, support students’ learning and guide them towards a rewarding student life experience by offering a broad range of services in a supportive environment. Provide student admissions and enrolment services for undergraduate, graduate, certificates and diploma programs. Participate in student recruitment fairs, student exchange programs, convocation and graduation activities. Oversee government reporting and compliance. Offer a variety of student services including career planning, campus life and engagement, scholarships and student aid, counselling and tutorial, health and mental health, international student services, immigration, services for students with disabilities, religious life, and other programs. Offer student affairs services including advising, student records, registration and exam and invigilation activities. Offer programs related to athletics and recreation

Primary Responsibilities:

  • Supports the Director of the Global Engineering Program in the formulation of administrative procedures related to implementation, delivery and daily operations of the new joint undergraduate program; assesses and resolves administrative problems related to student affairs and when appropriate, informs supervisor and formulates recommendations
  • Supports the Program Director, McGill Enrolment Services and CentraleSupélec in their needs related to admissions and student records
  • Coordinates the scheduling and logistics of interviews, as required, and provides program information, answers questions, and solves problems as issues arise
  • Establishes and fosters effective working relationships with associated units and CentraleSupélec by identifying needs and providing support in the delivery of services 
  • Acts as a resource person within the Faculty for academic staff, external and internal organizations, and current and prospective students  
  • Liaises with Enrolment Services for any issues related to recruitment, admissions, records, graduation, etc. 
  • Assists undergraduate students on a variety of matters, such as program/course selection, transfer credits, degree requirements, prerequisites, permit overrides, etc.; prepares and verifies student records, recommends students for graduation to the Associate Dean Student Affairs 
  • Records CentraleSupélec transfer credits on McGill transcript before students begin at McGill
  • Organizes and participates in information sessions related to recruitment and admissions 
  • Supports student recruitment activities and events. Participates in the Annual McGill Open House and other recruitment events with MESC colleagues. Coordinates and participates in orientation programming for new students; participates in annual convocation celebrations
  • Produces various student reports. Compiles statistics and data for student enrollment, annual reports, etc. 
  • Provides input and ideas regarding program related communications and information (website, newsletters, social media content), assists in developing promotional materials for the program in collaboration with the Communications Team; acts as back-up resource person for the program website 
  • Reviews the final e-calendar revision & course timetables for Global Engineering students; resolves course scheduling conflicts with Enrollment Services - Class Scheduling

Other Qualifying Skills and/or Abilities:

Seeking an enthusiastic individual with experience working in a university environment, dealing with student affairs issues/inquiries and processing student records, and also with knowledge of University policies. Demonstrated ability to clearly transmit explanations to students, exercise patience and maintain composure. Proven ability to prioritize and meet frequent and regular deadlines. Student-focused and service-oriented with a demonstrated ability to build constructive and effective relationships and find solutions in a variety of situations with all levels of staff, students, and the public. Ability to pay attention to details and verify work for accuracy. Experience with student outreach, recruitment, and networking is an asset. Must be self-motivated and proactive and be able to carry on simultaneous projects.  Ability to track, analyze, and synthesize a high volume of information and meet strict deadlines. 

Excellent computer skills and proficiency with MS Office, spreadsheets, databases, presentation software, Banner (SIS), Minerva, Teams and Zoom. McGill University is an English-language university where day to day duties may require English communication both verbally and in writing. The level of English required for this position has been assessed at a level 4 (Fluent) on a scale of 0-4. Knowledge of French is a requirement, notably for communication with CentraleSupélec.
