Job Description Summary
The Student Affairs & Study Abroad Coordinator (SASAC) manages administrative operations for the Student Affairs team at Penn Engineering's Office of Academic Services. Reporting to the Associate Director of Student Affairs (ADSA), the SASAC will maintain key communication channels, update student handbooks and websites, track conduct cases, and create community engagement materials and programming. Guide students through global learning opportunities by advising students on study abroad locations, program selection, and course alignment. Provide ongoing academic assistance to students overseas and to exchange students studying at Penn Engineering. The role of the SASAC will enhance school-wide academic operations by developing advisor training resources and coordinating Office of Academic Services (OAS) meeting agendas.
Job Description
Student Affairs Coordination
Assist with administrative support for Penn Engineering Student Affairs by monitoring the Student Affairs email address, tracking and sending Undergraduate Nurture Emails, crafting the Undergraduate and Graduate Newsletters, making updates to the Engineering Handbooks (UG, Grad), making updates to the General (Grad/UG) and Wellness sections of the OAS website, and tracking student Conduct/Integrity on behalf of the ADSA.
Study Abroad Advising
Support SEAS students who are interested in studying abroad by advising them on study abroad options, eligibility, and expectations; answering questions when students are unable to find a course to take or encounter unexpected issues with course registration; and ensuring students are taking the correct number of courses. Liaise with Penn Global on student statuses, provide support to students studying abroad, and serve as a liaison between Penn Global and Engineering for Exchange Students (inbound) visiting Penn. Work on administrative tasks related to Global Programs/Study Abroad, including supporting curriculum and course matching for specialized boutique programs (e.g., 3+2, 4+1).
Community Learning & Knowledge Management
In the area of Advisor Training, support the maintenance of a comprehensive onboarding experience for new SEAS advising/coordinator staff, while developing advisor training resources and coordinating Office of Academic Services (OAS) meeting agendas. Maintain the database for advisor training and education, including the OAS Advisor Training Course. Regarding Student Engagement, the SASAC will provide written materials and events for the Engineering student body on topics related to Student Affairs (Wellness, DPS/Special Services, CSA, CIC, etc.), along with partnering with campus teams to provide student programming, scheduling 2-3 sessions with campus partners per term.
Office of Academic Services Support
Support the OAS Team with various systems support (CRM, Student Registration Systems). Coordinate Office of Academic Services (OAS) meeting agendas.
Qualifications
Required
- Bachelor's degree and 2 to 3 years of experience or an equivalent combination of education and experience.
- Experience using problem-solving skills to identify and document academic needs patterns.
- High attention to detail and confidentiality.
- Excellent oral and written communication skills. Comfort operating in a fast-moving, technology-rich environment; ability to learn new tools quickly and work across platforms (scheduling systems, Google Workspace, other CRM tools).
- Self-starter who thrives on accountability, with a demonstrated ability to manage multiple competing priorities and drive daily operations forward.
- Understanding and alignment with Penn Engineering's mission and values.
Preferred
- A Master's degree in higher education administration, student affairs, or a related field is strongly preferred.
- Demonstrated understanding of the intersectional needs and concerns of student populations in STEM.
- Demonstrated organizational and planning skills to set work priorities under the pressure of deadlines.
- Demonstrated record of personal and professional initiative, flexibility, and careful judgment.
- Ability to work independently and as a team member.
- A cover letter is strongly recommended.
