Job Summary

The Panhellenic Recruitment Student Assistant supports the planning, coordination, and execution of Panhellenic Association recruitment efforts during the summer term in alignment with National Panhellenic Conference (NPC) standards and values-based recruitment practices. This role is held by the Vice President of Recruitment and the Vice President of Pi Chis, who work closely with the Office of Fraternity & Sorority Life (FSL) to ensure a well-organized, ethical, and PNM-centered recruitment process. The position focuses on recruitment logistics, communication, and preparation for fall primary recruitment, including direct engagement with prospective new members and their families, while promoting an experience that prioritizes education, transparency, Panhellenic unity, and informed, values-based decision-making.

Responsibilities

Recruitment Operations & Coordination

  • Assist in the planning and execution of all Panhellenic recruitment activities and events.
  • Support recruitment registration management, including tracking, data entry, and monitoring application progress.
  • Help coordinate recruitment schedules, logistics, and event details.
  • Maintain accurate and organized recruitment records and materials.
  • Ensure all recruitment operations align with NPC policies, procedures, and values-based recruitment practices.

Communications & Outreach

  • Serve as the primary point of contact for recruitment inquiries via email and phone, providing timely, accurate, and professional responses to prospective members and families.
  • Support recruitment publication efforts, including drafting emails, social media content, and promotional materials.
  • Proactively communicate with registered PNMs regarding deadlines, expectations, and next steps in the recruitment process.
  • Collaborate with council leadership to ensure consistent and clear messaging about recruitment.
  • Ensure all communication promotes a values-based understanding of sorority membership and reflects the Panhellenic commitment to transparency, access, and informed decision-making.

Orientation & Recruitment Promotion

  • Represent Fraternity & Sorority Life and Panhellenic recruitment at New Student Orientation sessions and related outreach opportunities.
  • Assist with tabling, presentations, and engagement efforts to educate incoming students about Panhellenic recruitment.
  • Coordinate with Pi Chis and council leadership to ensure coverage and consistency at all orientation and recruitment-facing events.
  • Educate prospective members on the purpose, benefits, and values of Panhellenic sorority membership, rather than focusing solely on events or social aspects.

Required Qualifications

  • Must currently be a UWG student enrolled in a minimum of 6 credit hours
  • Must maintain a minimum of 2.0 GPA
  • Must currently serve as the Vice President of Recruitment or Vice President of Pi Chi.
  • Active member in good standing with a Panhellenic chapter.
  • Strong organizational, communication, and time management skills.
  • Ability to handle confidential information with professionalism and discretion.
  • Must have and maintain a valid Driver's License

Physical Requirements/ Working Conditions

  • Ability to work evenings and occasional weekends based on event schedules
  • Willingness to work outdoors during tours and recruitment activities
  • Ability to lift or transport light materials (up to approximately 20 lbs) for events
  • Work occurs in both office and campus-wide event settings

Preferred Qualifications

  • Active member in good standing of a Fraternity & Sorority Life-recognized chapter and the Office of Community Standards
  • Experience with event planning, recruitment, orientation, or student outreach
  • Working knowledge of Microsoft Office and Canva, with the ability to learn and utilize UWG systems including WolfConnect and ReserveWest
