Job Summary:
The Student Employment Services Coordinator supports the administration of student employment experiences and associated systems for the Colby student employee population. This role plays a key part in coordinating daily operations related to data entry, student onboarding, placement, employment records, and general support for both students and supervisors. The Coordinator will collaborate with a wide range of stakeholders across the campus and provide timely, accurate information and assistance related to student employment. The position reports to the Director of Recruitment and Hiring and provides essential support during peak hiring periods, including summer employment.
ESSENTIAL FUNCTIONS AND RESPONSIBILITIES
- Coordinate the day-to-day operations of the student employment program, ensuring timely communication and support for students and campus departments.
- Assist students with onboarding processes, including the collection and processing of required employment forms (e.g., I-9s, W-4s) and data entry into relevant systems (e.g., Workday).
- Respond to in-person, phone, and email inquiries related to student employment, serving as the first point of contact and ensuring a high level of customer service.
- Maintain and update student employee records and employment documentation in compliance with applicable regulations and College policies.
- Assist in resolving basic payroll or employment-related questions or issues by working collaboratively with campus departments and Human Resources.
- Support the preparation and distribution of student employment communications, resources, and promotional materials.
- Help maintain the student employment website and ensure information is current and accessible.
- Track and compile data for internal use, reporting, or compliance-related needs.
- Provide general guidance to faculty, staff, and students about student employment policies and procedures.
- Support the coordination of student employment events, such as job fairs or orientation sessions, including assisting with logistics and communications.
- Promote student employment opportunities and support students in their job search processes.
- Will support staff recruitment and hiring processes in collaboration with other recruitment coordinators and team members as needed.
- Perform other administrative and support duties as assigned.
QUALIFICATIONS
- Associate’s degree, preferred.
- Experience in a higher education, student services, or administrative support role.
- Familiarity with HR systems or student employment practices is helpful; experience with Workday is a plus.
- Strong organizational, administrative, and time management skills.
- Excellent communication and interpersonal skills, with the ability to work effectively with students, staff, and faculty.
- High attention to detail and ability to manage confidential information with discretion.
- Demonstrated proficiency in Microsoft Office and Google Suite; ability to learn new systems and tools quickly.
- Ability to work independently and collaboratively in a fast-paced environment.
KEY RELATIONSHIPS
This position reports to the Director of Recruitment and Hiring and has regular interactions with students, faculty, and staff. The Coordinator serves as a liaison between departments and student employees to ensure smooth, effective employment operations.
WORKING CONDITIONS / PHYSICAL REQUIREMENTS
This position operates in a general office and campus environment. Some extended hours or evening/weekend support may occasionally be required during peak periods.
