The Surgery Scheduler is responsible for managing and coordinating all aspects of scheduling surgical procedures, ensuring a smooth and efficient experience for patients, surgeons, and the surgical team. Acts as a critical liaison between patients, physicians, and auxiliary healthcare departments to guarantee that all pre-procedural requirements are thoroughly met. Coordinates and schedules various medical services, including surgical procedures, diagnostic tests, therapy services, and other medical appointments.
- Schedule surgeries in accordance with patient needs, surgeon availability, and facility schedules. This includes coordinating times, dates, equipment, and any special requirements.
- Work closely with physicians, nurses, and other healthcare staff to confirm surgery dates and details.
- Coordinate with other departments (e.g., admissions, nursing, anesthesiology) to ensure all necessary preparations for the surgery are made.
- Obtain appropriate authorizations, medical clearances, outside medical records, and other required test results.
- Ensure pre-operative instructions are provided to patients and all necessary pre-surgery assessments and lab work are completed.
- Maintain and update surgery schedules, patient records, and other documentation in an accurate and timely manner.
- Communicate effectively with patients about their surgery schedule, including any changes or updates.
- Respond to inquiries from patients, families, and medical staff professionally and promptly.
- Address and resolve scheduling conflicts or issues as they arise.
- Maintain a high level of accuracy while meeting department productivity requirements.
- Maintain patient confidentiality in compliance with HIPAA regulations.
- Enter billing codes for applicable patient financial liability.
- Perform other related duties as assigned.
SUPERVISION RECEIVED
Direct supervision is received from the Department Supervisor.
REQUIRED QUALIFICATIONS*
- High school diploma or GED.
- Prior relevant training or work experience in scheduling.
- Understanding of insurance policies and medical billing procedures.
- Proficient in electronic medical records (EMR) systems and other healthcare and scheduling software.
- Knowledge of medical terminology and surgical procedures.
PHYSICAL REQUIREMENTS
This position requires infrequent standing/walking.
DESIRED QUALIFICATIONS*
- Relevant post-secondary education, such as a certificate or associate degree in healthcare administration, medical office management, or a related field.
- Experience working within a large, complex healthcare setting.
- Experience in complex scheduling.
This position is covered under the collective bargaining agreement between the U-M and the Service Employees International Union (SEIU), which contains and settles all matters with respect to wages, benefits, hours, and other terms and conditions of employment.
