PRIMARY DUTY: The Accounts Payable Coordinator is responsible for managing the timeliness and accuracy of payments made to all University vendors, processing invoices, and coordinating vendor set-up in the software system. The Accounts Payable Coordinator oversees the 1099 process, identifying payees and securing form W-9 information required for the 1099 process.
ESSENTIAL FUNCTIONS:
- Ensure timely and accurate payments to vendors, including employee travel expense reimbursement and identify and resolve any discrepancies
- Process invoices and vouchers in software system
- Coordinate vendor set-up in software system
- Interpret, explain, and promote accountability of the AP processes and University Expense Procedures to all internal stakeholders
- Manage 1099 process by identifying reportable payees and secure W9 forms
- Identify and aid in management of non-resident entertainer payments for withholding
- Balance AP totals to daily accounting reports
- Run AP process in software system, print checks and prepare ACH file, and balance totals to system output
- Research and process voids and stop payments
- Assist with the development and implementation of new AP electronic document management processes and workflow to meet changing needs of the University
- Train and instruct University departments on AP processes and University Expense Procedures
- Initiate various bank wire/ACH transfers
- Submit request documents to Jefferson City for payments from appropriations and debt offsets
- Maintain standard of confidentiality
- Perform other duties as assigned
REQUIREMENTS:
Education/Experience: Bachelor’s degree in related field or three years of experience in Accounts Payable
Skills: Effective communication and interpersonal skills, ability to positively interact with others, ability to work independently, detail oriented with a high degree of accuracy, strong analytical and problem-solving skills, 1099 knowledge, proficient in Adobe Acrobat and Microsoft office software applications including Excel, Word, and Outlook.
WORKING CONDITIONS: Air-conditioned office with regular hours of 8:00 a.m. to 5:00 p.m., Monday through Friday; and occasional evening and weekend hours dependent upon project deadlines
EQUIPMENT/MATERIALS USED: Personal computer with appropriate software applications, 10 key calculator, multi-line phone, copy machine
TYPICAL PHYSICAL DEMANDS: Ability to lift up to 20 lbs
