POSITION DESCRIPTION:
UCAM (University Coaching and Mentoring) program is a fee for services support program for SOU students with documented learning differences. The UCAM coach will be a collaborative member of the Disability Resources (DR) team and report to the Coordinator of Disability Resources at SOU.
The academic coach will work one-on-one in a coaching and mentoring capacity with students who enroll in the program. The UCAM Coach will assist students in identifying their personal goals and work with them to develop strategies to attain these goals; maintain regular communication with students on a weekly basis, including phone calls, texts and emails; and help UCAM to grow and expand the program. Academic coaches should be trained and familiar with various coaching strategies and techniques, as well as best practices in the field of working with students with learning differences. They will have an understanding of executive function challenges and how these may impact college students. Candidates should have experience working with teens and/or adults with learning differences; excellent listening, as well as written and interpersonal communication skills; a collaborative approach to supporting students; and the ability to work in a fast-paced environment. They must genuinely enjoy working with students with learning disabilities, executive function challenges, and/or ADHD and mental health diagnoses, and be able to do so in a supportive and non-judgmental manner. The ability to interact successfully with a diverse population is a must.
Minimum Requirements
- Bachelor’s degree in psychology, education, special education or related field, with at least one year of additional training or work experience in assisting students with learning differences in an educational environment.
- Professional Experience working with students with learning disabilities, ADHD, and/or Autism Spectrum Disorder.
- Familiarity with ADD and life skills Coaching Fundamentals; willingness to seek further training and certification in this area.
- Familiarity with campus resources.
- Excellent listening, oral, and written communication skills.
- Flexibility and commitment to a collaborative working style.
- Familiarity with executive function challenges and specific strategies students and use to improve their academic success.
Preferred Requirements
- Master’s degree in related field, or a secondary teacher’s endorsement. Specific Coaching training and/or certification.
- Administrative experience, especially in a postsecondary setting, including, but not limited to budgetary, supervisory, and program development experience.
- Professional teaching or training experience.
- Familiarity with ADA, disability laws, and post-secondary accommodations
- process.
- Academic or life coaching training and/or certification.
Essential Functions
Duties - The following examples are typical work activities that are meant to illustrate the general range of work functions and are not meant to be all-inclusive or restrictive:
(70%) Professional and Individualized Academic Coaching:
- Hold standard office hours for weekly, by-appointment student coaching meetings
- Assess individual student needs and work collaboratively with students to identify plans, offer support, and provide feedback
- Introduce learning and organizational strategies for students to use, based on individual strengths, needs, and learning differences
- Follow-up with students as necessary, i.e. additional check-ins and communication via email, phone, and text.
- Assist students in developing verbal and written communication with faculty, campus staff and peers.
- Review relevant student information including educational and psychological evaluations, transcripts, and application materials to anticipate student needs and structure supports
- Keep accurate records of student meetings
- Provide registration support, including developing course schedules and tracking progress toward degree completion
- Utilize tools such as Workday, Navigate, AIM, Degreeworks, and Banner to help students with advising, registration, holds, and account information
- Facilitate student awareness of course and institutional dates, deadlines, and policies
- Connect students with campus and community resources, individuals, and tools that can help with academic success
- Other duties as assigned
(15%) Duties Include
- Participate in program operations as needed, including teaching the UCAM class, planning social activities, attending social events, hosting study sessions, social media promotion, orientation and any duties that may accompany program expansion.
- Communicate with parents while abiding by federal privacy regulations
- Schedule and provide summer coaching as needed
- Collaborate with UCAM staff, Disability Resources, TRiO, Dean of Students, faculty, and Student Health and Wellness to support student development, well-being, and academic growth
- Other duties as assigned
(10%) Duties Include
- Promote the UCAM program at campus events, such as Preview Days, Campus Connections, and Week of Welcome
- Meet with prospective families and students individually and at campus events
- Interview prospective students and handle program inquiries
- Assist with program development and growth
- Engage in ongoing training and development with regard to executive functioning, neurodiversity, and learning differences
- Other duties as assigned
(5%) Duties Include
- Communicate with parents when needed, following FERPA guidelines.
- Assist with Administrative tasks as needed

Skills, Knowledge, and Abilities
- Excellent communication skills; demonstrated ability to effectively communicate information in a clear and understandable manner, both verbally and in writing.
- Demonstrated customer service experience requiring a very high level of diplomacy and professionalism to effectively handle a broad range of sensitive interpersonal situations.
- Demonstrated ability to interpret and consistently apply a wide variety of complex policies and procedures where specific guidelines may not always exist.
- Expressed ability to work with frequent changes in policies and procedures, under pressure of deadlines in a fast-paced environment.
- Demonstrated ability to proactively assess work operations and anticipate potential problems; ability to develop and implement strategies for preventing/resolving problems.
- Great ability to effectively perform work of a highly sensitive and confidential nature that requires access to information. Must be able to exercise sound judgment and discretion, tact, and diplomacy.
- Takes initiative in independently planning, organizing, and performing work assignments within broadly defined parameters
- Demonstrated ability to work with a high level of productivity and accuracy/attention to detail.
- Excellent organizational and time management skills with the demonstrated ability to set own priorities to coordinate multiple assignments with fluctuating and time-sensitive deadlines.
- Excellent computer skills and proficiency with a variety of computer applications including word processing, spreadsheets, databases, online systems, social media platforms, Internet as well as online calendaring and email.
- Demonstrated ability to initiate, establish, and foster communication and teamwork by maintaining a positive, cooperative, productive work atmosphere in and outside the University with the ability to establish and maintain effective working relationships within a diverse population and with those from various cultural backgrounds.
- Willingness to and work effectively in a heavily bureaucratic environment which requires regular interaction with a number of levels within the organization and multiple outside agencies.
- Working knowledge or ability to quickly learn, university infrastructure, policies, and procedures.
- Demonstrated ability to provide training and direction to student assistants.

Physical Demands
- Normal office activities such as using a computer, sitting/standing, interacting with others in person, via phone and electronic communications.
Special Conditions
- Must be willing to travel and attend training programs off-site for occasional professional development.
- Must be able to work additional hours and adjust working hours to meet special jobs. May be called back periodically to perform work as needed on an emergency basis.
- Must be able to successfully pass a pre-employment background check.
- This position classification has been defined as exempt and is not subject to the overtime provisions of the Fair Labor Standards Act (FLSA).
- The person holding this position is considered a mandatory reporter under the Oregon Revised Statutes and is required to comply with the requirements set forth by the Oregon Department of Human Services.
