TES Administrative Support Assistant - Urban Studio
Overview
The TES Administrative Support Assistant will support the academic-related activities of the Urban Studio at the Auburn in Birmingham Building.
Temporary Employment Services (TES), a unit of the Auburn University Department of Human Resources, is an in-house support center established to meet the temporary employment needs of the university. TES provides qualified and dedicated temporary employees in a wide variety of occupations to meet the staffing needs throughout the campus. Temporary employees are hired for a variety of reasons with the most common being:
- Assistance in the place of a regular employee who is absent for a specified period of time
- Additional assistance during periods of abnormal or peak workloads
- Assistance with special projects
- Seasonal work
- Emergencies

Responsibilities
Responsibilities include, but are not limited to:
- Assist with receptionist duties, receiving and routing telephone calls and visitors, and providing or gathering information as needed.
- Prepare documents, reports, newsletters, databases, and manuscripts; compose correspondence and distribute mail.
- Operate standard office equipment, including personal computers, copiers, and fax machines.
- Processes and prepares forms such as work orders, purchase orders, and personnel documents.
- Maintain inventory and order office supplies, materials, and IT/student equipment.
- Sets up and maintains files and records.
- Schedule appointments, maintain calendars, and provide secretarial and administrative support for the existing administrative team at the Urban Studio.
- Assist in planning and coordinating special events, including orientations, workshops, conferences, and department tours.
- Assist with the coordination of provided student housing at The William, including updating application information through Smartsheet and managing internal records. The selected candidate will also serve as an additional point of contact between students and the property management team to coordinate move-in/move-out, routine access, and maintenance issues.
Qualifications
High school diploma or equivalent
