Āu Mahi | What You Will Do
Do you enjoy working with complex data, solving problems, and collaborating across teams to deliver impactful outcomes? As a Timetabling Operations Specialist, you will play a key role in coordinating and optimising the University’s centralised timetabling systems and processes.
You will support the development and delivery of the University timetable, ensuring accuracy, efficiency, and alignment with strategic priorities. Acting as a key liaison between faculties and central teams, you will provide expert advice, analyse data, and continuously improve systems and processes to enhance the student and staff experience.
Key duties will include:
- Leading the collection, review, and validation of course structure data for timetable development
- Analysing enrolment, workload, and space utilisation data to inform planning and decision-making
- Maintaining high standards of data integrity within timetabling systems such as TimeEdit and Allocate+
- Providing expert guidance and support to faculties on timetabling processes and issue resolution
- Developing reports, insights, and recommendations for stakeholders across the University
- Delivering training and creating support materials for staff and students
- Identifying and implementing process improvements to enhance timetabling operations
- Acting as a key contact during peak periods, supporting students and staff with timetable-related queries
Mōu | Who You Are
You are an experienced administrator or analyst with a strong eye for detail and a passion for improving systems and processes. You thrive in a collaborative environment and are confident working with data, stakeholders, and technology.
You will be able to demonstrate:
- At least 5 years’ experience in administration within a large organisation (university experience advantageous)
- Strong analytical and problem-solving skills, with experience in business analysis or data reporting and tools such as Power BI
- Advanced Microsoft Excel skills (including formulas, pivot tables, and reporting)
- Experience working with scheduling or rostering systems; preference will be given to advanced users of systems such as TimeEdit, Allocate+, Syllabus+ or CMIS
- Excellent communication and relationship-building abilities
- Strong time management and organisational skills, with the ability to remain composed, adaptable, and effective during high-pressure peak periods
- Thrive in a fast-paced environment with competing priorities
- Experience working with complex systems and the ability to quickly learn new technologies
- A customer-focused mindset with a commitment to delivering high-quality outcomes

You will work closely with the Scheduling Services Manager, Timetable Coordinator, and academic departments across the University. This role is central to ensuring effective collaboration between faculties and the Scheduling Services team, supporting the delivery of high-quality teaching and learning experiences.
