UW-Madison seeks to hire a Program Manager to live in the Washington D.C. metro area to assist with administering the Wisconsin in Washington D.C. (WIW) program on behalf of International Academic Programs, a unit of the International Division. The Program Manager leads the D.C.-based Program staff with strategic planning support and on-site program management and facilitation of an academic program in the fall, spring, and summer terms. This position attends to the personal and professional development of students participating in the WIW Program as well as manages key aspects of day-to-day program administration. In addition to providing administrative support, the Program Manager facilitates internship placements in Washington D.C. for UW-Madison undergraduate students from a wide array of academic disciplines/interest with various hosts including U.S. Congress, the White House, executive departments and agencies, public policy advocacy and lobbying firms, think tanks, non-profits, law firms and legal institutions, print and broadcast media outlets, marketing and public relations firms, historical sites, and political organizations, among many other possibilities. The Program Manager will be involved in growing and maintaining relationships with UW-Madison, intern host organizations, Washington D.C. alumni, guest speakers and mentors. The Program Manager will promote alumni and stakeholder engagement in program planning, professional development activities and program growth.

Oversees the daily management of programs, services, activities, facilities, policies and/or processes in order to support student success in various areas of student affairs. Works under broad, administrative direction with significant responsibility for assigned area(s) of responsibility. Responds to inquiries from University departments, educational institutions, the community, and/or external agencies. Strives to create a welcoming, equitable, and inclusive work environment.

  • 20% Plans, organizes, administers, and manages processes and operations related to assigned area(s) of responsibility
  • 5% Monitors, evaluates, and modifies processes, procedures, and/or standards, ensuring alignment with the Institution's mission, values, goals, and objectives, as well as all local, state, and federal laws and regulations.
  • 5% Advises and enforces Institution policies related to services in Student Affairs
  • 15% Serves as the program or unit liaison to internal and external stakeholder groups
  • 20% Schedules logistics and secures resources to support the operational plans of the program or unit
  • 10% May monitor the program budget and approve expenditures
  • 5% Maintain an active presence on social media, and help support the student application and acceptance processes and pre-departure preparation as needed.
  • 5% Manage matters relating to student health and safety and group and interpersonal dynamics.
  • 15% May exercise supervisory authority, including hiring, transferring, suspending, promoting, managing conduct and performance, discharging, assigning, rewarding, disciplining, and/or approving hours worked of at least 2.0 FTE or equivalent employees.
  • 15% Serves as the program or unit liaison to internal and external stakeholder groups.
  • 5% Maintain an active presence on social media, and help support the student application and acceptance processes and pre-departure preparation as needed.

Tasks:

  • Working with IAP to ensure that WiW practices are in accordance with all related best practices, laws, and regulations
  • Supervise the Wisconsin in Washington Program Coordinator to ensure the execution of all expected duties and overall on-site oversight to ensure the smooth running of WiW programs in Washington, DC.
  • Assisting in identifying internship placements, professional development activities, outreach, and supporting alumni engagement and fundraising by serving as a liaison to internship employers, alumni, and vendors.
  • Advising/assisting students on program matters on-site and communicating back to IAP and relevant units at UW as needed towards managing student affairs and serving as a contact for students and respond to health and safety issues and emergencies
  • Working with the on-campus WIW working group and other campus colleagues to provide information and support in order to increase student engagement across disciplines
  • Overseeing ongoing alumni/student mentor relationships, acting as a liaison between students and their mentors, Developing, managing, and maintaining databases for internships, program alumni, mentors
  • Collaborating and communicating with IAP as needed on managing logistical aspects of the program
  • Providing support as needed to additional IAP short-term student programs located in Washington D.C.
  • Managing and updating program guides and handbooks such as the orientation handbook for students and the internship mentor guide
  • Organizing the on-site program orientations as well as developing and maintaining a pre-program online orientation
  • Utilizing institutional policies and guidelines as they pertain to the WIW program budget to develop vendor contracts as needed for program events, and assist in the efficient and prompt payment of budget items approved by campus for the program.
  • Assisting IAP with strategic planning and identifying areas of new academic growth for the program.
  • Being instrumental in working with DC-based staff, alumni, and other stakeholders in assisting students in identifying appropriate internships in their specific interest areas and facilitating students' internship applications

Department: International Division, International Academic Programs

Compensation: The expected salary range for this position is $78,000-$90,000 and actual pay will depend on skills and qualifications.

Required Qualifications: Bachelor's degree in any field.

Preferred Qualifications: 1-3 years of experience working in a related field, such as higher education administrative or program coordination experience, strongly preferred. Background in student services, internship outreach and coordination, career readiness/workforce development, event planning and familiarity with Washington D.C. is desirable
