Reporting to the CMMS and Asset Manager, the Work Control Specialist is responsible for the day-to-day operations of University Facilities CMMS to facilitate inventory management best practices and workflow processes. This position supports the facilities asset management program by maintaining asset inventory data to ensure accurate reporting and KPIs. This includes: operations and maintenance asset documentation, inventory management, warranty information, and updating parts pricing. This position will liaise with facilities maintenance teams to ensure required resources are purchased, identified and allocated prior to work execution and that work records are completed and organized according to departmental standards upon work completion.

Essential Functions:

  • Supports supervisory staff in prioritizing and closing out Work Orders in the CMMS system to ensure accurate Key Performance Indicators (KPIs). Regularly monitors work orders to confirm that parts, entries, and associated costs are recorded correctly.
  • Responsible for updating equipment assets as they are replaced, inputting asset data information, warranty info. and pricing into the CMMS system as required.
  • Assists Supervisory staff in the coordination, scheduling, and communication of projects that affect the Campus community. Ensures required permits are obtained and filed with projects requiring them for both internal and contracted work.
  • Develops and maintains the master project listing for summer projects and summer temporary staff. Collaborates with student affairs to obtain updated information on housing assignments for camps or students stays, and communicates to Facilities team to minimize scheduling conflicts.
  • Supports maintenance staff with the procurement of parts and materials, while monitoring expenditures to ensure adherence to operating budgets.
  • Conducts regular inventory audits of spare parts using barcode or QR coding or manual input methods to manage and maintain inventory stock levels.
  • Collaborates with supervision to standardize parts storage systems and establish reordering thresholds to support preventative maintenance efforts.
  • Responsible for management of specialty tools for accountability and replenishment.
  • Receives parts and inspects for accuracy, damage and proper pricing prior to delivering to requestor or storeroom.
  • Directs the consolidation of all daily material pickups from local vendors and suppliers to maintain more efficient operations.
  • Additional related duties as assigned.

Work Schedule: 7:00 am - 3:30 pm. This position requires a 40-hour workweek.

Minimum Qualifications:

  • High school diploma or equivalent is required.
  • Three or more years' experience in inventory control and records management procedures and practices.
  • Ability to read and interpret plans, specifications and equipment operations and maintenance manuals.
  • Excellent organizational and planning skills with ability to prioritize tasks assigned.
  • Experience utilizing CMMS software, relational databases, or ability to learn new software programs.
  • Proficiency with Microsoft Office suite.
  • Working knowledge of supply chain principles and material management practices.
  • Operate forklift, pallet movers and other material handling equipment as required.

Physical Requirements:

  • Fingering: Picking, pinching, typing or otherwise working, primarily with fingers rather than with whole hand or arm as in handling.
  • Grasping: Applying pressure to an object with the fingers and palm.
  • Repetitive motions: Making substantial movements (motions) of the wrists, hands, and/or fingers.
  • Walking: Moving about on foot to accomplish tasks, particularly for long distances or moving from one work site to another.
  • Standing: Remaining upright on the feet, particularly for sustained periods of time.
  • Climbing: Ascending or descending ladders, stairs, scaffolding, ramps, poles and the like, using feet and legs and/or hands and arms. Body agility is emphasized. This factor is important if the amount and kind of climbing required exceeds that required for ordinary locomotion.
  • Stooping: Bending body downward and forward by bending spine at the waist. This factor is important if it occurs to a considerable degree and requires full use of the lower extremities and back muscles.
  • Kneeling: Bending legs at knee to come to a rest on knee or knees.
  • Reaching: Extending hand(s) and arm(s) in any direction.
  • Pushing: Using upper extremities to press against something with steady force in order to thrust forward, downward or outward.
  • Pulling: Using upper extremities to exert force in order to draw, drag, haul or tug objects in a sustained motion.
  • Lifting: Raising objects from a lower to a higher position or moving objects horizontally from position to position. This factor is important if it occurs to a considerable degree and requires the substantial use of the upper extremities and back muscles.

Working Conditions:

  • The worker is subject to both environmental conditions: Activities occur inside and outside.
  • The worker is subject to noise: There is sufficient noise to cause the worker to shout in order to be heard above the ambient noise level.
  • The worker is subject to hazards: Includes a variety of physical conditions, such as proximity to moving mechanical parts, moving vehicles, electrical current, working on scaffolding and high places, exposure to high heat or exposure to chemicals.

Types of Work:

  • Medium work: Exerting up to 50 pounds of force occasionally, and/or up to 20 pounds of force frequently, and/or up to 10 pounds of force constantly to move objects.

Non-Exempt, Full Time, Benefit Eligible

Minimum Pay:

$23.05 - Pay Commensurate with Experience
