Job Summary

The UCSF California Preterm Birth Initiative (PTBi-CA) is a multi-year, transdisciplinary research effort to reduce the burden of prematurity among those at highest risk for preterm birth—women and birthing people of color. Recognizing the role of “place” as a strong determinant of health and wellbeing — including the risk of preterm birth — PTBi-CA takes a place-based approach focusing our work in affected communities in San Francisco, Oakland, and Fresno. We bring together academic researchers from different disciplines, healthcare providers, departments of public health, community-based organizations, and other stakeholders to work in partnership with affected communities. Most importantly, we partner with women with lived experience during all phases of the research including developing and prioritizing the research agenda, enhancing study designs to ensure cultural appropriateness and maximum impact, and ensuring dissemination of results to a broad audience of stakeholders. 


The California Preterm Birth Initiative (PTBi-CA) is seeking an Operations Coordinator to administer daily operations and provide overall project coordination for several projects housed within the PTBi-CA aims. They will be responsible for providing research, operations/fiscal, events, writing, and administrative support for multiple studies and programs. This position is expected to function as an integral part of a professional team that is passionate about advancing birth justice, is dedicated to facilitating the smooth flow of work, ensuring accountabilities for all administrative needs of the unit. As directed by the Operations Manager, this position will also work on special projects or assignments with professionalism and discretion. They will work on issues where the analysis of situations or data requires the review of relevant factors. They will exercise sound judgment in selecting the optimal methods, techniques, and criteria necessary for achieving the desired results. The individual will identify risks and respond accordingly. They will set priorities and evaluate workflow to ensure the delivery of quality service to various constituencies. The successful candidate must have the ability to balance numerous deadlines and shifting priorities. Creativity and strong teamwork skills are highly encouraged.


The ideal candidate is passionate about racial equity and birth justice. This position will be a critical part of a multicultural, anti-racist organization that works to address racial disparities in maternal and infant health outcomes, with a particular focus on addressing anti-Blackness. The Operations Coordinator will have the opportunity to work directly with birth equity leaders, researchers, and community experts who are driving the latest efforts to address racial disparities in maternal and child health outcomes.


Under the direction of the Operations Manager, the Operations Coordinator’s scope of work is influenced by objectives and goals set by several PTBi-CA Program Directors. Essential responsibilities of this position may include, but are not limited to, the following duties:

  • Coordinate program planning and implementation of PTBi-CA research studies and programs and collaborate with internal and external program/project/research staff, faculty, stakeholders, and community partners
  • Provide program coordination support by compiling information from multiple sources, tracking timelines and progress of action plans and items, coordinating resources and materials, and updating project databases
  • Draft, edit and modify documents including research reports, manuscripts, presentations, proposals, and internal/external communications for PTBi-CA research studies and programs
  • Research and conduct analysis on complex topics and summarize data and best practices in the field. Seek out information from a variety of sources from within and outside of the institution as appropriate. Synthesize information into reports for the Associate Director and other constituents as requested.
  • Improve, develop, and document information regarding PTBi-CA policies and procedures as well as provide recommendations
  • Process and oversight of procurement activities in MyExpense
  • Perform administrative duties such as processing payments and stipends, submitting IRBs, and processing procurements
  • Collaborate with University Development and Alumni Relations (UDAR) on coordinated strategies to identify, cultivate, and steward donors and prepare proposals to present opportunities for philanthropic investment
  • Facilitate and support various forms of event coordination, meeting coordination, project and event calendar management, travel coordination and high-level administrative support for special projects housed within the initiative
  • Provide direct support for management and distribution of information that may be sensitive or confidential

The final salary and offer components are subject to additional approvals based on UC policy.

Your placement within the salary range is dependent on a number of factors including your work experience and internal equity within this position classification at UCSF. For positions that are represented by a labor union, placement within the salary range will be guided by the rules in the collective bargaining agreement.

The salary range for this position is $29.05 - $53.50 (Hourly Rate).

Department Description

The Department of Obstetrics, Gynecology and Reproductive Sciences (Ob, Gyn & RS) is a major academic Department in the School of Medicine, engaged in clinical, research and training activities at the Parnassus, Mt. Zion and San Francisco General Hospital campuses, the Betty Irene Moore Women’s Hospital at Mission Bay, as well as satellite locations throughout the Bay Area, with an annual operating budget of $146 million. The Department has 111 full-time faculty, 117 other academic appointees, 13 post-doctoral fellows, 20 clinical fellows, 32 residents, 138 voluntary clinical faculty and 270 staff. Required Qualifications

  • Bachelor's degree in public health, public policy, psychology, sociology or related area and 1+ years of experience in program coordination, operations and community engagement or an equivalent combination of education and experience.
  • Working knowledge of program/task management platforms and tools, and organization-wide communications and research-specific and other computer application programs including med-high level competence in the following tools and platforms: Microsoft Office Suite, Zoom, MyExpense, BearBuy, Qualtrics, Survey Monkey, Asana, Slack, Eventbrite, Tremendous, Zotero, Adobe Acrobat, Dedoose, etc.)
  • Proficient in communication and interpersonal skills to communicate effectively, both verbally and in writing.
  • Proven ability to work on several tasks simultaneously. Skilled at responding effectively to priorities and setting deadlines.
  • Proficient in ability to use discretion and maintain all confidentiality.
  • Demonstrates ability to use sound judgment in responding to issues and concerns.
  • Demonstrates ability to analyze, research and synthesize large amounts of data with strong attention to detail.
  • Proficient in ability to multi-task with demanding timeframes.
  • Strong interpersonal and communication skills and social percetiveness. Excellent verbal and written communication skills to effectively communicate with diverse populations with competing priorities.


 

Preferred Qualifications

  • Experience in issues related to maternal and child health.
  • Working knowledge of applicable policy analysis techniques.
  • Experience working with traditionally marginalized and underresourced populations.
  • Experience working with pregnant and postpartum populations.
  • Working knowledge of equity and justice frameworks, specifically reproductive justice and anti-racism frameworks.
