Job Duties:

The College of Letters and Sciences at the University of Wisconsin-Whitewater seeks an Academic Advisor (AE002).

This is a twelve-month position that reports to the Associate Dean in the College of Letters and Sciences (CoLS). This position plays a vital role in advancing the mission and strategic goals of CoLS and UW-Whitewater by supporting student success, equity, and timely degree completion. The advisor will serve as a critical bridge between students and institutional resources, ensuring meaningful progress toward academic and career goals. This position will be the primary evaluator of applications for graduation to determine if all curricular and policy requirements have been met as well as strategically support faculty advisors by working with students nearing graduation and those returning to the university to complete their degrees. This position will assist with the evaluation of transfer credits for their application to general education requirements. This position will attend recruitment and orientation events and participate in retention and student success initiatives across the College.

Responsibilities:

  • 60% Academic Advising and Student Success
    • Review student academic records to verify completion of all degree requirements (GPA, coursework, testing, and other program-specific components)
    • Process and track graduation applications for undergraduate students within CoLS
    • Proactively communicate with students regarding their graduation status and any potential deficiencies
    • Collaborate with faculty, program coordinators, and advisors to resolve academic discrepancies or outstanding requirements
    • Review departmental requests for modifications to a student’s degree plan
    • Coordinate with the Registrar’s Office to ensure timely submission of degree certifications
    • Utilize Navigate and other campus technologies to maintain records and collaborate with other campus units to support student success as well as to identify at-risk students and proactively support their retention
    • Serve as initial point of contact for CoLS students returning to complete their degree
    • Advise new students at Student Orientation, Advising, and Registration (SOAR) events
    • Collaborate with campus partners to ensure holistic student advising and support
    • Participate in inclusivity-related initiatives or outreach to underrepresented and returning student populations
  • 25% Transfer Credit Review for General Education
    • Assist the Transfer General Education Coordinator and Associate Dean in the review of general education transfer credits
    • Work with the Admissions Office and Registrar’s Office to ensure the accuracy of general education transfer credits in Stellic
    • Facilitate appeals by students with transfer credits for proficiency, general education, and diversity coursework
  • 15% Administrative Duties
    • Serve as liaison to Career Services CoLS advisor, collaborate with career services and other campus partners on professional development workshops and other career-readiness events, and participate in “Hired Before Graduation” campaigns
    • Participate in Preview Days, Admitted Student Days, and other recruitment events
    • Co-facilitate CoLS advising and student success programming
    • Other duties as assigned

Key Job Responsibilities:

  • Receives, processes, and responds to academic inquiries according to established policies and procedures
  • Proactively engages students as needed
  • Serves as a main point of contact for students and provides information about educational options and academic requirements; assists with identifying and assessing interests, skills, and values to match appropriate field of study/career options, and refers students to appropriate institutional resources
  • Participates in the campus-wide advising community providing input to leadership regarding the development of advising, recruitment, and co/curricular programs offered by the school/college
  • Implements academic advising events such as workshops, panel discussions, and guest speakers
  • Maintains confidentiality and accurate student records and processes and responds to academic inquiries according to established institutional and Family Educational Rights and Privacy Act (FERPA) policies
  • Maintains expertise with advised curriculum and may assist in developing and recommending exceptions for policy and curriculum

Department: The College of Letters and Sciences

Compensation: Well-qualified candidates can expect a starting annual salary within the range of $48,000 - $52,000 commensurate with the candidate's education, related experience, and qualifications. Required Qualifications:

  • Master’s degree from a regionally accredited institution
  • At least two years’ experience in an education setting
  • Demonstrated commitment to inclusive practices to ensure student success
  • Professional experience engaging with faculty, staff, students, families/guests, and/or general public.

Preferred Qualifications:

  • Experience as an academic advisor in a higher education setting
  • Experience using Navigate and/or Stellic
  • Career development facilitator training and/or Global Career Development Facilitator certification; knowledge of career development theory and practices
  • Excellent written, verbal, critical-thinking, and problem-solving skills
  • Knowledge of best practices to promote student academic success and career exploration
  • Ability to learn, understand and explain complex processes and requirements

Knowledge, Skills and Abilities:

  • Ability to interact respectfully with people with diverse socioeconomic, cultural and ethnic backgrounds
  • Willingness and ability to be an active participant in following applicable safety rules and regulations including necessary training and drills
