Academic Data Analyst, Undergraduate Programs and Records

The salary of the finalist selected for this role will be set based on a variety of factors, including but not limited to departmental budgets, qualifications, experience, education, licenses, specialty, training and internal pay comparison. The above hiring range represents the University's good faith and reasonable estimate of the range of possible compensation at the time of posting.

The Academic Data Analyst for the Undergraduate Registrar's Office is responsible for the collection, management, analysis, and reporting of academic data related to student enrollment, degree progress and graduation, faculty workload, and academic programs. This position supports the accuracy and integrity of undergraduate academic records and helps ensure reliable data is available for college operations, reporting, and decision-making. The Academic Data Analyst works with data from multiple University systems and sources, performs regular and ad hoc data analysis, supports degree and graduation review processes, and works collaboratively with colleagues across the College to maintain accurate and timely student academic records.

The successful candidate will:

• Demonstrate strong analytical and organizational skills, attention to detail, and the ability to manage multiple priorities and deadlines.

Data Management & Analysis:

• Collect, maintain, and analyze datasets from multiple sources, including student information systems, learning management systems, and internal and external databases.
• Maintain data quality and integrity by following established data management protocols, identifying discrepancies, and conducting regular audits.
• Perform regular and ad hoc data pulls and analyses related to enrollment, class lists, academic programs, and other College needs.
• Maintain appropriate confidentiality of student and institutional data and ensure compliance with FERPA, University policies, and other applicable requirements.
• Follow established workflows and identify opportunities for process improvements, recommending updates as appropriate.

Degree Progress & Graduation:

• Collect and maintain accurate graduation and degree-completion data across undergraduate programs, ensuring information is current and available for reporting and analysis.
• Conduct an annual audit of the engineering undergraduate student population using University student information systems and FileMaker to review degree progress and compliance with graduation requirements.
• Review and reconcile student academic records in support of degree completion and graduation clearance.
• Participate in the graduation officiating process and support commencement planning, logistics, and implementation.
• Coordinate graduation participation and record requirements for students pursuing dual degrees and double majors.

Reporting & Compliance:

• Prepare recurring and ad hoc reports for college leadership to support planning, resource allocation, and decision-making.
• Analyze semester credit-hour activity by student population to identify and report enrollment and academic trends.
• Collect and compile faculty workload data from university systems for institutional reporting.
• Compile, validate, and prepare academic data required for annual University reporting and other institutional requests.
• Support data collection, review, and reporting related to State Authorization Reciprocity Agreement (SARA) requirements, including student enrollment, location, and other academic information as needed.
• Review data for accuracy and consistency prior to submission and address discrepancies as necessary.

Student Records Management Review:

• Student eligibility for tuition overload waiver requests and approve requests when appropriate, ensuring decisions and supporting documentation are accurately maintained.
• Coordinate with undergraduate academic advising staff as necessary.
• Monitor student full-time and part-time enrollment status, coordinate with the Undergraduate Programs Office, and update records as appropriate.
• Review, process, and track academic program changes and degree enhancements, including double majors and dual degrees, to ensure compliance with degree requirements.
• Review and approve class-standing petitions in accordance with College and University policies.

Additional & Backup Responsibilities:

• Provide backup support for course, examination, and other academic scheduling activities, helping to identify and minimize scheduling conflicts.
• Manage and track administrative approval requests through ServiceNow or other University systems as needed.
• Provide backup support for graduation processes, including student record and degree-completion verification.
• Provide backup support to the Program Coordinator and other Undergraduate Registrar's Office staff as needed.
• Perform other related duties and provide operational support to the Undergraduate Registrar's Office as needed.

Required Skills

• Bachelor's degree and three years of relevant experience.
• Strong analytical skills with demonstrated ability to work with, interpret, and reconcile data from multiple sources.
• Strong attention to detail and commitment to maintaining data accuracy and integrity.
• Strong organizational and time-management skills, with the ability to manage multiple priorities and deadlines.
• Strong written and verbal communication skills, including the ability to communicate data and reporting information clearly to a variety of academic and administrative stakeholders.
• Proficiency with spreadsheets, databases, reporting tools, student information systems, or similar data-management technologies.
• Demonstrated problem-solving skills and the ability to identify, investigate, and resolve data discrepancies.
• Ability to exercise discretion when working with confidential student and institutional information.
• Ability to work independently and collaboratively in a deadline-driven academic environment.
