Academic Program Coordinator (Early Childhood and Art Education)
POSITION DETAILS
Brooklyn College of the City University of New York (CUNY) seeks a full-time Academic Program Coordinator in the Department of Early Childhood and Art Education (ECAE) to support its rapidly growing suite of fully online graduate programs. The Academic Program Coordinator will play a central role in ensuring smooth, consistent, and student-centered program operations. Working under the direction of program leadership, the Academic Program Coordinator provides essential administrative, operational, and analytical support to maintain high-quality academic experiences for students and faculty.
Over the past four years, enrollment in ECAE has expanded to more than 600 students across multiple degree programs and tracks, including Art Education, Early Childhood Education (Birth-2nd Grade), Early Intervention and Parenting, and Reading Science.
In addition to the CUNY Title Overview, duties include but are not limited to:
Student Support & Advisement
- Serve as a primary point of contact for student inquiries, ensuring consistent, clear, and timely communication across all graduate programs.
- Coordinate with various College offices - including Registrar, Financial Aid, Admissions, and IT - to support student needs and program operations.
- Assist with scheduling, program events, and faculty and administrative support tasks.
- Provide guidance to prospective and current students regarding program requirements, course sequencing, registration processes, and academic policies.
- Assist with orientation preparation and delivery for new students.
- Provide information and referrals related to financial aid, certification requirements, and campus resources.
Registration & Enrollment
- Enter course permissions, monitor enrollment to prevent over-enrollment, and ensure appropriate course access.
- Track student registration issues and coordinate timely communication to resolve them.
- Maintain accurate records of student progress, program milestones, and advising needs.
Data Management & Reporting
- Maintain program databases and office records, including faculty files, student records, and program documentation.
- Collect and organize statistical data related to enrollment, retention, and program activities.
- Prepare reports, surveys, and compliance documentation as needed.
Office Coordination
- Assist with monitoring program budgets and expenditures.
- Coordinate day-to-day office operations for the graduate programs.
- May supervise student workers or part-time staff.
- Perform related duties as assigned.
QUALIFICATIONS
- Bachelor's Degree required.
Preferred
- Experience in higher education administration, student services, or academic program coordination.
- Strong organizational skills and attention to detail.
- Ability to manage multiple tasks in a fast-paced environment with competing deadlines.
- Excellent written and verbal communication skills.
- Comfort with online learning platforms and student information systems.
- Commitment to supporting diverse student populations in an online environment.
CUNY TITLE OVERVIEW
Provides basic operational and analytical support related to a College's specialized academic program.
- Supports the directors and managers with orientation preparation, student advisement regarding program requirements, and providing basic information about financial aid and registration
- Manages office records including faculty files; prepares reports and surveys; collects and maintains statistical data on program activities
- Serves as liaison to various College offices to provide service delivery and appropriate referrals to students
- Collects and reviews syllabi to ensure compliance with standards
- Serves as resource person for students and faculty regarding program policies and procedures
- May supervise office operations and/or monitor department budget
- Performs related duties as assigned.
