Academic Program Coordinator

PLEASE NOTE: THE POSITION IS LOCATED IN FRESNO, CA. Duration through June 30, 2026.
Combination of on-site work on campus and in local schools. This position will oversee programming for the Caruthers Unified School District Junior Doctors Academy and Doctors Academy. They will work closely with staff and students at Caruthers Elementary School and Caruthers High School. Must have reliable transportation.

Under the supervision of the Program Supervisor, the Academic Program Coordinator (Temporary) will provide short-term coordination and continuity support for the Doctors Academy (high school) and Junior Doctors Academy (middle school) in Caruthers through June 30, 2026. This role is designed to support existing program operations during a defined coverage period and focuses on implementing established activities, supporting student advising needs, maintaining key partnerships, and ensuring day-to-day program continuity across participating sites. This is an in-person position, providing support to the students in Caruthers 3-4 days a week and team meetings in Fresno 1-2 days a week.

The ideal candidate will be comfortable stepping into an established program, quickly learning systems and processes, and maintaining momentum through the end of the academic and program cycle.

The successful candidate will have experience working with K-14 students in college and career readiness or health pathway programs, strong organizational skills, and the ability to manage multiple priorities in a dynamic, student-centered environment.

Key Responsibilities

Program Coordination & Implementation

  • Coordinate and support the implementation of existing Doctors Academy Program curriculum and activities in alignment with established program goals and timelines.
  • Organize program activities including work-based learning experiences, college-going field trips, enrichment activities, and summer programming.
  • Support logistics for regional events, conferences, and clinical exposure activities.
  • Monitor program activities to ensure smooth operations across participating sites.

Student Advising & Support

  • Provide academic and college-going advising support to participating students, both individually and in groups.
  • Collaborate with school-site staff to track student academic progress and identify support needs.
  • Assist with academic support planning, probationary meetings, and student retention efforts.
  • Communicate with students and families to support program participation, academic success, and postsecondary access.

Data Tracking & Reporting

  • Maintain accurate documentation of student participation, contacts, and program activities.
  • Utilize established systems and procedures to track student outcomes and program metrics.
  • Assist with preparation of routine program reports and data summaries for internal and external stakeholders.

Outreach & Partnerships

  • Support ongoing outreach and recruitment efforts using existing strategies and materials.
  • Maintain established relationships with K-12 schools, higher education partners, and community organizations.
  • Coordinate meetings and communications with partners and stakeholders as needed.

Administrative & Department Support

  • Assist department leadership with coordination of student staff, volunteers, or temporary staff as needed.
  • Support departmental events, meetings, and related program activities.
  • Perform other duties as assigned in support of Doctors Academy and departmental priorities.
