Academic Program Specialist

The School of Interdisciplinary Global Studies (SIGS) promulgates a vision of global studies that is broadly interdisciplinary and transcends traditional geographical definitions. SIGS brings together the disciplines of Africana Studies, International Studies, Latin American & Caribbean Studies, and Political Science studies to foster an understanding of the world. Our interpretation of global studies includes a commitment to recognizing the linkages between our diverse local community and the world. We are situating USF, Tampa, St. Petersburg, Sarasota, and Florida into the global context. Position Summary:
This position supports the academic programs within the School of Interdisciplinary and Global Studies. This position provides administrative coordination for undergraduate programs and works closely with the undergraduate Director and faculty on matters related to course management and enrollment. Supports student administration through processing course permits, maintaining student files and records.
Responsibilities
Support of BA and undergraduate certificate programs:
- Provides administrative support to the Undergraduate Director
- Assists students with University, College, and Program policies and procedures
- Acts as liaison to the College of Arts & Sciences Graduate & Undergraduate Studies Office for undergraduate student-related issues
Undergraduate Course Schedule:
- Assists the Chair and Undergraduate Director in developing the undergraduate course schedule each semester
- Enters course information and maintains undergraduate courses in Banner
- Distributes and processes department course evaluations, disseminates results to instructors, and maintains records of department course evaluations
- Maintains database of undergraduate course syllabi
- Assists the Undergraduate Director with course proposals
- Acts as liaison to other University departments for cross-listed undergraduate courses
- Acts as liaison to the Central Space Office and Registrar's Office
- Assists Undergraduate Director with Undergraduate Catalog updates
- Issues course permits for undergraduate students
Provide administrative support to department:
- Provides administrative support to Chair/Director
- Provide coverage for reception area when necessary: answering main phone line, picking up and distributing Department mail, greeting and assisting Department visitors
- Update Department directories and website content
- Manage office supplies and copier: submit office supply orders and copier invoices for payment
- Acts as back-up to Department Operations Manager for Payroll issues
- Manages calendar for department conference room
- Assists faculty/instructors with copying, faxing, and general office support
- Acts as back-up to Academic Program Specialist (Position #4781) for Graduate student and course-related issues
Perform other duties as assigned by the department.
Qualifications
Minimum Qualifications:
This position requires a high school diploma or equivalent, with four years of experience in office or administrative positions. Appropriate college coursework or vocational/technical training may substitute at an equivalent rate for the required experience.
