Position Summary
The Access Control Specialist provides technical and operational support to the Access Control Coordinator in the administration and maintenance of the University at Buffalo’s electronic building access control systems. Under the direction of the Access Control Coordinator and UBPD leadership, this position assists with user management, system troubleshooting, vendor coordination, and access control projects across university-owned buildings.
The Access Control Specialist supports the Door Access Rules Management (DARM) system, monitors workflows related to repairs and installations, and assists with system updates and permissions management. This position works closely with the University at Buffalo Police Department, University IT, and external vendors to help ensure the secure, reliable, and uninterrupted operation of access control systems in support of campus safety.
Duties include, but are not limited to:
Access Control Support & Operations
- Assist the Access Control Coordinator with walkthroughs and coordination with University departments for access control hardware additions or modifications.
- Investigate reported system issues and perform minor troubleshooting and repairs, including panel resets and basic hardware issues; escalate complex issues and coordinate vendor involvement as directed.
- Monitor access control repairs, upgrades, and new installations to help ensure proper system operation and minimize service interruptions.
- Participate in project walkthroughs with vendors and campus requestors for new or upgraded access control hardware.
- Have the ability to work in constructions areas, climb a ladder, and learn safety protocols in these areas.
System Administration & Security
- Assist with managing users and permissions within the access control software, including maintaining sub-administrator access in accordance with university policy and police administration guidance.
- Support the creation, updating, and maintenance of data and rules within the Door Access Rules Management (DARM) system.
- Work in conjunction with UBPD IT and University IT to help maintain system integrity and proper integration with DARM and credential import processes.
Vendor & Project Coordination
- Assist with coordinating vendors for pricing, licensing, updates, and routine system maintenance.
- Monitor project workflows to help ensure vendors remain on schedule in accordance with RFP and contract requirements.
- Track workflow and assist with billing coordination to ensure hardware and software costs are assigned to the appropriate requestors.
Training & User Support
- Provide support and basic training to building managers and sub-administrators responsible for access control permissions.
- Serve as a technical resource for departments regarding access control procedures and system functionality, referring policy decisions to the Access Control Coordinator or police administration as appropriate.

Minimum Qualifications
- Bachelors degree with two years of experience, or masters degree or professional certification with no experience. A combination of education and experience may be considered in lieu of a degree on a year for year basis.
- Effective communication skills with vendors, suppliers, and co-workers.
- Experience assisting with project coordination, including scheduling vendor work and monitoring progress.
- Ability to support training efforts for sub-managers responsible for access control within their assigned areas.
- Computer literacy, including experience with workflow management systems and Microsoft Office applications.
- Ability to learn, comprehend, and utilize access control software systems.
- Ability to troubleshoot and resolve minor access control system issues.
- Ability to travel within and between University at Buffalo campuses.
- Valid New York State driver’s license.
Preferred Qualifications
- Strong communication skills for interacting with vendors, co-workers, and campus stakeholders.
- Knowledge of Lenel/Honeywell access control systems; ability to learn and support the DARM system.
- Two (2) years of related access control experience preferred.
- Lenel system certifications, including system administration, preferred.
- Demonstrated troubleshooting and problem-solving skills related to access control hardware and software.
- Ability to assist with coordinating projects through completion under the direction of the Access Control Coordinator.
- Proficiency with Microsoft Office Suite and experience with, or ability to learn, workflow management systems.
Salary Range
$75,000 - $85,000
