Nevada State University invites applications for the position of Administrative Assistant 3. The Administrative Assistant 3 will provide high-level administrative, operational, and fiscal support to the Office of Student Academic Success, including the Academic Success Center, Writing Center, and Academic Enrichment Programs & Summer Bridge. This position coordinates office operations, communications, meetings, travel, purchasing, financial processes, events, and special projects while serving as a liaison with internal and external stakeholders and supporting division priorities.
Primary Responsibilities:
- Coordinate and perform administrative and operational support activities for the Office of Student Academic Success and its reporting units, ensuring efficient office operations and alignment with leadership priorities.
- Manage calendars, meetings, travel arrangements, communications, committees, and special projects; serve as a liaison to faculty, staff, students, and external stakeholders by facilitating communication and responding to inquiries regarding programs, services, policies, and procedures.
- Research issues, resolve problems, and exercise independent judgment in handling sensitive and confidential information.
- Maintain records, reports, website content, and administrative documentation to support information management and operational effectiveness.
- Coordinate and perform business and financial operations, including purchasing, procurement card reconciliation, travel processing, budget monitoring, contract administration, and financial recordkeeping.
- Coordinate events, trainings, and special projects, including facilities scheduling, technology support, vendor communication, marketing coordination, and event logistics.
- Provide administrative support and operational continuity during staff absences and perform related duties as assigned.
Required Qualifications:
- Graduation from high school or equivalent education and three years of progressively responsible relevant work experience which included experience in one or more of the following areas: maintenance of complex records and files; public/customer relations including explaining detailed policies, regulations and requirements; preparation and processing of financial and statistical documents such as payroll, travel, claims and budgeting forms; and assisting staff and management with projects and activities; OR one year of experience as an Administrative Assistant 2 in Nevada State service; OR an equivalent combination of education and experience as described above.
- Eligibility to work in the United States without sponsorship (Nevada State does not sponsor employment-related visas).
Preferred Qualifications:
- Experience providing advanced administrative support in a higher education, public sector, or similarly complex environment.
- Experience coordinating purchasing, travel, budget tracking, contracts, or other business operations.
- Experience planning meetings, events, or special projects involving multiple stakeholders.
- Experience interpreting and applying policies, procedures, and administrative guidelines.
- Proficiency with Microsoft Office Suite, Workday, and related administrative systems.
- Demonstrated ability to manage multiple priorities, maintain confidentiality, and work independently.
- Strong organizational, interpersonal, written, and verbal communication skills.
