Administrative Assistant, Center for Psychological Services
Job Summary
The Administrative Assistant provides advanced and diversified administrative support for the Office of the Director, and for matters related to day-to-day operations, accounting, billing of clients and vendors, and patient clinical service requests. Maintains and facilitates third party reimbursement for outside service contracts (e.g., NJ Department of Veterans Affairs, Passaic County Superior Courts), and numerous local school/community agencies. This position is required to maintain confidentiality of proprietary and private information and a customer-service focus while carrying out job responsibilities and will conduct business in a manner that will uphold the integrity and reputation of Fairleigh Dickinson University. This position maintains a thorough working knowledge of and adheres to the approved policies, regulations, and procedures of the University.
Required Qualifications
- High school diploma or GED required. Completion of commercial courses related to secretarial, general office and administrative skills, or demonstrated equivalency through work experience. College credits preferred.
- A minimum of 3 years administrative work experience, preferably in a multi-faceted, fast-paced, confidential, clinical work environment including: office responsibilities; interfacing with multiple internal and external organizational units, multi-tasking, and dealing with difficult people. Experience in a mental health setting preferred.
- Strong figure aptitude and demonstrated clerical accounting and/or bookkeeping skills.
- Experience and proficiency utilizing computer systems for word processing and spreadsheets. Knowledge of Microsoft Office (Word, Excel, PowerPoint and Access), e-mail, on-line services, the internet, and other relevant software. Ability to learn new programs/applications quickly.
- Strong oral and written communication and excellent interpersonal skills to deal effectively with distressed callers and diverse constituents; problem solving ability; strong customer service orientation and skills; and strong organizational skills. Well organized, independent, and able to work collaboratively with others.
- Ability to handle sensitive issues with decorum and confidentiality and commitment to secure handling and maintenance of confidential information.
- Knowledge of documentation and billing procedures for various third party payors (i.e., state and federal contracts) and general knowledge of New Jersey mental health law and procedures/policies for federal and state service contracts highly desirable.
- Bilingual – English/Spanish preferred.
- Employment is contingent upon a satisfactory background check. Candidates for hire will be required to sign a waiver authorizing the background check and produce a Social Security Card.
