Administrative Assistant
Job Summary
The Administrative Assistant provides front-line reception and administrative support for the Arts and Sciences Advising and Academic Services office. This position serves as the first point of contact for students, ensuring high-quality customer service, accurate appointment coordination, and effective processing of student records.
Key Responsibilities
- Provide reception services and answer calls for the Advising and Career Services phone center.
- Schedule, manage, and check in students for academic advising, career advising, and peer resume review appointments.
- Notify advisors and peer career advisors of student arrivals and walk-ins.
- Respond to student inquiries, resolve issues, and make appropriate referrals.
- Process student forms and update records (add/drop courses, credit hour adjustments, section changes) in student information systems.
- Ensure timely scanning and maintenance of student records.
- Serve as liaison with university offices and support daily operations.
- Provide backup support for document scanning and indexing across advising and related offices.
- Perform additional duties as assigned.
Minimum Required Qualifications
- High school diploma or GED.
- Strong customer service, communication, and organizational skills.
- Proficiency with Microsoft Office (Word and Excel).
- Experience working with student information systems (e.g., SIS, degree audit tools, advising platforms).
- Knowledge of university policies, procedures, and deadlines.
Desired Qualifications
- Experience supporting college students in an academic or advising environment.
- Familiarity with Arts and Sciences curriculum and major requirements.
- Demonstrated ability to manage multiple tasks with accuracy and attention to detail.
