Administrative Assistant for Advancement Services

The University of Evansville invites applications for the position of Administrative Assistant for Advancement Services. This full-time role supports the day-to-day operations of the Research and Advancement Services office. Responsibilities include managing the university switchboard, processing and batching gifts for entry, and maintaining the accuracy and integrity of data in the Advancement Customer Relations Management (CRM) system.

Key Responsibilities

  • Maintain the accuracy and integrity of Advancement CRM data, including biographical, relationship, and employment information.
  • Process and batch all gifts received for gift entry procedures: verify records, create new records as necessary, confirm gift designations, and run batch totals for verification.
  • Enter new constituent records (individual and corporate) into the CRM.
  • Assist with entering alumni employment information for post-graduate and accreditation tracking.
  • Ensure the timely processing of daily gift receipts for signing.
  • Serve as the main switchboard operator and communicate effectively with all University constituencies by phone and in person.
  • Assist with the maintenance of constituency hard files.
  • Communicate data updates with the University Advancement office as appropriate.
  • Maintain confidentiality of records and sensitive information.
  • Train and supervise work-study students.
  • Process check requisitions and invoices for Advancement Services.
  • Track the quantity of returned UE magazines and solicitation mailings.
  • Assist with the upkeep and maintenance of the Advancement building/offices.
  • Perform other duties as assigned by the Director of Advancement Services.

Qualifications

  • Working knowledge and experience with Microsoft Excel.
  • Ability to type at least 60 words per minute.
  • Strong records maintenance skills.
  • Strong analytical skills with the ability to interpret data.
  • Effective oral and written communication skills.
  • Knowledge of databases and data reporting software.
  • Excellent time management and organizational skills; detail-oriented and self-motivated.
  • Strong problem-solving skills and ability to work both independently and collaboratively.
  • Positive attitude and ability to work cooperatively with others.
  • Commitment to and understanding of fundraising is a plus.
