ADMINISTRATIVE ASSISTANT, DEPARTMENT OF CHEMISTRY AND COMPUTING SCIENCES
Coastal Carolina University is currently accepting applications for one full-time position: Administrative Assistant in the Department of Chemistry and Computing Sciences.
The Administrative Assistant to the Chair of the Department of Chemistry and Computing Sciences is responsible for overseeing and maintaining departmental budgets, office management, student enrollment management, personnel, procurement, and travel functions; assist faculty, students, and parents; generally, assist with and monitor all departmental activities.
Required Qualifications
High school diploma or equivalent. Five (5) years of related work experience. Equivalent education, training and experience may be considered.
Preferred Qualifications
Bachelor’s degree and experience in an academic setting.
Duties
- Serves as departmental Administrative Assistant and liaison for the Departments of Chemistry and Computing Sciences chairs; handles various correspondence with faculty, staff, current and prospective students, alumni, parents, and the public; coordinates prospective student visits, disseminates departmental information to staff and students; schedules room reservations; coordinates tutoring and student worker schedules. Coordinates and performs fiscal management activities, monitors and maintains CHEM / CSCI departmental program and active research grant budgets in consultation with faculty PIs and accounting functions; initiates and organizes budget requests.
- Prepares and oversees hiring and salary paperwork for the Departments of CHEM / CSCI in conjunction with the HR Service rep. Coordinates and performs procurement management activities; coordinates and tracks all CHEM / CSCI departmental and active research grant purchasing, maintains PCard, and oversees purchasing of basic departmental supplies. Processes purchase requisitions and accompanying documentation.
- Coordinates and oversees all travel activities and coordinates and tracks all travel related paperwork for CHEM / CSCI including active research grants. Assists the CHEM / CSCI department chairs in planning, developing, and implementing academic advising, registration, orientation, recruitment and retention activities; performs Ellucian functions. Make and maintain digital student folders; assist with meet-and-greet, and career networking events.
- Assists CHEM / CSCI department chairs with various documents and reports. Coordinates and tracks all departmental related paperwork for the programs.
- Provides exceptional customer service to all CHEM / CSCI constituents, including but not limited to, faculty, staff, students, visitors and the community at large. CHEM / CSCI Office Records and Management; maintains and organizes shared departmental space, equipment, supplies, keys, etc.; and continuous departmental records management.
