Job Summary:
Provides administrative support to Dean of Health Sciences, Director of Health Sciences, Health Science program faculty and staff, and students. These responsibilities include, but are not limited to, supporting Health Sciences (HS) Office, handling student, employee, and public requests and inquiries, and maintaining confidential information.
Essential Functions:
- Greets students, employees, and visitors; responds to and processes phone calls and provides students with assistance and information regarding HS programs.
- Assist with maintenance of student document records and electronic archives. Maintains highly confidential material related to employees, students, and college initiatives.
- Supports maintenance of copy machines and office workroom. Orders and maintains supplies for HS programs and maintains electronic inventory of supplies and equipment; picks up, sorts, and delivers mail for HS faculty and staff; and maintains mailbox assignments. Processes invoices, check requests, and purchase requisitions for approval by Dean of HS, Director of Health Sciences, and Program Chairs.
- Supports student recruitment activities, program advising, program/student data collection and dissemination for both credit and non-credit HS programs.
- Assists with registration and intake for non-credit HS programs, including CNA and CPR.
- Assists with HS annual academic class schedule.
- Coordinates posting of class cancellations for HS classes.
- Collects and stores syllabi for Health Science programs.
- Supports updates to annual HS program documents, such as applications, brochures, handbooks, etc.
- Supports scheduling of community members as volunteers for Sonography student scanning practice during Fall and Spring semesters, faculty performance appraisals, classroom observations, and evaluations, and supports coordination of HS Advisory Committee meetings and maintains meeting minutes. Collaborates on and supports HS event set up and preparation (e.g., Health Science Expo, accreditation visits, information sessions, program orientations, departmental tours, etc.).
- Assists in onboarding of new HS faculty and staff.
- Supports linen processing for HS programs.
- Provides back-up for full-time Administrative Assistant, Health Sciences. Provides support to Administrative Assistants, as needed. Serves as support staff for various college committees as appointed.

High School diploma or equivalent required. Associate degree preferred. Two or more years of administrative experience in a higher education setting preferred. Good communication and grammar skills; proficient in proofreading. Strong software and computer skills, including integration of word processing programs, spreadsheets, preferred. Positions at Lake Michigan College require regular and predictable on-site attendance as an essential job function. Under certain circumstances, College may consider alternative work arrangements and will do so in compliance with and according to parameters outlined in College’s Flexible Scheduling and Remote Work Options policy.
Grade:
Salary Range: $16.40 - $19.42
