- High school diploma or GED.
- Ability to communicate effectively both verbally and in writing.
- Ability to operate a personal computer with Microsoft Windows and Office software, specifically Outlook and Excel.
- Experience with intellectual disabilities in higher education
- Experience working with students with intellectual or developmental disabilities.
Preferred Qualifications:
- Bachelor’s degree.
- Basic understanding of Procurement policies and Procedures.
- Punctual and excellent attendance.
- Experience as an administrative assistant.
- Experience with SAP, Concur Travel and TSUS Marketplace.
- Basic understanding of University Policies and Procedures.
Job Description: The Administrative Assistant II provides administrative and general clerical support to the management and staff within a specific division, department, or unit. This position is in-person on the San Marcos campus.
Job Duties:
- Assist in managing the daily operations of Bobcat RISE.
- Coordinate scheduling and other arrangements for virtual and in-person meetings.
- Monitor progress and due dates of all Bobcat RISE assignments and projects, providing project management assistance.
- Coordinate schedules, workflow, and project activities with external partners and stakeholder offices across the university.
- Maintain the Schedule of Classes for Bobcat RISE student courses in collaboration with other Bobcat RISE staff, academic departments, and Bobcat RISE advising, and assist with overrides and student questions.
- Prepare travel applications, expense reports, and compliance forms.
- Coordinate purchasing and enter purchase requisitions.
- Monitor budget transactions.
- Submit personnel actions and Personnel Change Requests.
- Assist in preparing various activities and events.
- Maintain and organize digital files in a shared drive and review for completeness.
- Respond to email in a timely manner, proactively assisting students, staff, faculty, and leadership inside and beyond the college.
- Reserve classrooms and meeting rooms for program needs.
- Compose and proofread correspondence and forms.
- Coordinate contract routing.
- Maintain calendar for supervisor.
- Create and update forms and workflow processes.
- Answer telephone, provide initial response, transfer calls, and take messages.
- Greet and assist visitors.
- Perform other duties as assigned.
