Required Qualifications:
- Proficient in Adobe products, as well as Microsoft Office 365 to include Word, Excel, Outlook, Teams, and SharePoint.
- Experience in bookkeeping/financial transactions
- Excellent interpersonal skills, including effective verbal and written communication and public relations skills.
- Experience in preparing and proofreading clear, concise, and grammatically correct correspondence and other written matter.
- Experience maintaining social media presence for professional organization.
- Demonstrated ability to effectively organize and publicize events, including preparation, design, and dissemination of promotional material.
- Experience developing and maintaining accurate and comprehensive records and files.
- Demonstrated ability to maintain sensitive and confidential information.
- Demonstrated ability to multitask, organize, and prioritize responsibilities, and handle interruptions.
Preferred Qualifications:
- Prior experience working in an academic setting.
- Experience with SAP and Concur
- Knowledge of Texas State University academic policies, systems, and procedures.
- Experience in project management in publishing.
- Experience in web page development, editing, and maintenance.
- Experience in the use of dedicated software for newsletter development and distribution.
- Proficiency in developing and maintaining social media sites, such as Facebook, YouTube, LinkedIn, and Instagram.
- Baseline familiarity with and interest in Texas music history.
Job Description:
The Administrative Assistant II provides administrative, clerical, and programs support to the director of the Center for Texas Music History, while collaborating with the faculty and the other administrative staff of the department of history.
Job Duties:
- Support the publication and distribution of the Journal of Texas Music History.
- Coordinate the Center’s regular public programs.
- Support the management of the Center’s endowments, fundraising, and scholarships (donor lists, correspondence with current and potential donors, etc.).
- Aid in the administration of the Center’s book series with Texas A&M University Press.
- Support public outreach via newsletters and social media.
- Facilitate the Center’s partnerships with public agencies and private partners engaged in the work of Texas music history preservation.
- Collaborate with the department of history and its Texas Center for Public History on public programming, support of student and faculty scholarship, and outreach effort.
- Design and administrative paperwork for flyers/brochures/swag.
- Manage office supplies, decorations, maintenance work orders, receiving of mail and packages
- Serve as receptionist by answering phone, greeting and assisting students, faculty, staff, and visitors and maintaining confidentiality.
- Compose, type, and proofread a range of documents including correspondence, maintaining database and reports.
- Attend university staff development workshops and/or training sessions as appropriate.
- May be asked to provide insight on process improvements and successful outcomes.
- Perform other duties as assigned
