Administrative Assistant in International Student Life - Temporary

Position Overview:

The Administrative Assistant position will aid the Office’s initiatives in supporting international and global nomad students with their successful transition to and engagement at Carleton College. As part of the Office of International Student Life, this position will aid in supporting programs, office logistics and providing services to the approximately 200-250 international students and global nomads at Carleton. This is a part-time temporary position for a maximum of 6 months.

Compensation:

The expected starting hourly range for this position is between $22.40 and $23.10. Actual pay will be adjusted based on job-related factors permitted by law, such as experience and training; licensure and certifications; market factors; departmental budgets; and responsibility.

Essential Job Functions/Responsibilities:

  • Support compliance with the Student and Exchange Visitor Program (SEVP), data maintenance, and document storage;
  • Help maintain the ISL website and social media accounts;
  • Support the UWC scholar program, including assistance with grant reporting;
  • Process reimbursements for Named International Scholars;
  • Maintain office calendars and event schedules;
  • Assist in logistics of office event planning, including collaborating with international student organizations.
  • Assist with the implementation of International Student Orientation and other programming;

Education/Experience/Skills:

Required:

  • High School diploma or GED;
  • Proven ability to manage multiple projects under frequent deadlines;
  • Ability to work collaboratively among colleagues;
  • Read, understand, and express oneself clearly and effectively in oral and written form;
  • Possess a working knowledge of personal computers and databases;
  • Demonstrated the ability to navigate policy and regulatory nuance, including maintaining confidential data;
  • Welcome, value, and nurture people of all backgrounds, perspectives, and experiences, as well as support and promote an environment that accepts differences;
  • Be a self-motivated, enthusiastic, energetic, and creative individual with the ability to meet and interact effectively and courteously with international visitors, students, college personnel, and members of the community;
  • Possess strong human relations and customer service skills with a history and clear appreciation for diverse nationalities.

Preferred:

  • Experience working with F-1 and/or J-1 students;
  • Prior experience working with and/or managing budgets;
  • Intercultural experience living or working in another country.

Physical Requirements:

Must have the ability to understand and follow written and oral work instructions, operations, safety procedures, and hazardous labels.
