Administrative Assistant
Position Summary:
Rutgers, The State University of New Jersey, is seeking a Administrative Assistant for the Educational Opportunity Fund (EOF) program within the School of Arts and Sciences.
The Administrative Assistant provides high level administrative support to the EOF Program and the leadership team. This position reports to the Senior Department Administrator Supervisor, the Administrative Assistant works independently with minimal supervision, within established work parameters, with few direct instructions.
Among the key duties of this position are the following:
- Processes various administrative documents and internal and state databases.
- Assists with department wide-events, programs, marketing, and staff trainings.
- Provides support to students, faculty, and staff that need assistance with program wide information.
- Performs various tasks related to procurement, HR, and financial transactions.
- Creates routine informational materials.
- Arranges meetings and associated logistics, provide information, greet, and direct visitors to proper destinations, organize schedules, make appointments and reservations, maintain records and files, prepare supply orders.
- Monitors daily staff attendance, supervises work study students and student colleagues.
- Carries out routine and non-routine tasks with occasional review of work outputs by supervisor.
- Performs professional work that requires knowledge of general administrative/office management principles and practices and a good understanding, use, and application of concepts, theories, principles, practices, terminology, and applied bases of departmental administration and program coordination.
Minimum Education and Experience:
A bachelor's degree in a related field, or an equivalent combination of education and/or experience that demonstrates knowledge and understanding of office administration, organization, coordination, facilitation, bookkeeping and/or report writing.

Position regularly uses Microsoft office suite, Cornerstone, ARS, ROCS, HCM, Canvas and knows or is willing to learn all systems Rutgers University uses for expense reimbursement, parking, telephones, payroll, recruitment, scheduling, facilities and space management, and equipment, software and specialized materials needed to support the effective and efficient performance of position.
Physical Demands and Work Environment:
SAS/EOF program is a fast-paced, student focused, collaborative environment.
Individuals should have the ability to move and/or lift items weighing up to thirty pounds.
Must be available to work some nights and weekends and be available during the summer institute.
Special Conditions:
Must be able to work occasional evenings/weekends and be available during Summer Institute.
Occasional traveling between two campus site's location (Livingston/College Avenue) for staff meetings signature events, training s and or conferences.
A skill test will be completed at time of interview.
