Department/Division Overview:
The Division of Student Life at Denison University fosters a dynamic and supportive campus culture where holistic student development thrives. Recognizing that learning extends far beyond the classroom, into residence halls, student organizations, athletics, and campus leadership, our team works collaboratively to empower students to build community, respect self and others, and prepare for impactful post-graduate lives.
Responsibilities:
- Proactively manage complex calendars for AVPs, schedule and coordinate meetings, resolve scheduling conflicts, prepare meeting logistics, and support division-wide meetings and initiatives.
- Draft correspondence, prepare reports and presentation materials, screen calls, maintain files and records, and provide administrative support to AVPs and Student Life leadership.
- Coordinate administrative and logistical needs for Student Life programs and initiatives, including scheduling, room reservations, catering, onboarding, meetings, and other division-wide activities.
- Serve as a welcoming first point of contact for visitors, employees, students, and campus partners; manage the main phone line and general email inboxes; and coordinate incoming and outgoing mail, packages, and courier services.
- Support AVPs with department budgets, expense tracking, purchasing, monthly expense reports, and financial documentation; monitor and maintain office supply, equipment, and breakroom inventories.
- Arrange travel itineraries and accommodations, coordinate related logistics, and ensure timely completion of travel documentation and expense reporting.
- Handle sensitive employee and student information with a high degree of discretion; maintain accurate records and ensure information is organized, accessible, and appropriately protected.
- Maintain an organized, professional, and welcoming office environment by ensuring common areas, conference rooms, reception areas, and shared resources are clean, orderly, and adequately equipped; assist with other administrative needs of Student Life as appropriate.
Minimum Requirements:
3–5 years of combined experience in office management, executive assistance, or HR administrative roles.
High School Diploma
Preferred Requirements:
Bachelor’s Degree in Business Admin, HR, Student Affairs or related field
