Position Title: Administrative Assistant Position Type: Regular About the Role: The Administrative Assistant for University Housing is responsible for the strategic management and oversight of the financial, business, and administrative operations of University Housing. This position helps to manage the budget development, some fiscal forecasting, financial analysis, procurement, revenue monitoring, and business process optimization to ensure the financial sustainability and operational
effectiveness of a self-supporting auxiliary. Working closely with the Director of Housing, the Administrative Assistant serves as a fiscal advisor for University Housing and provides financial leadership that supports departmental priorities, occupancy management, student experience initiatives, and long-term strategic planning. The position ensures compliance with university, state, and regulatory financial requirements while promoting operational efficiency and sound stewardship of institutional resources. Budget Support: •Process professional development/travel documents for University Housing Leadership •Team and train other housing staff on proper process completion •Process supply orders •Initiate purchase requisitions and payments through SAP •Process and submit deposits to Student Account Services •Communicate with the staff in the processing of payment information and budget tracking, planning, and development •Serve as budget liaison when questions arise Human Resources Support: •Serve as time administrator when needed •Assist with on-boarding/off-boarding University Housing employees •Coordinate with search committees on interview scheduling/agendas and document •management of positions. •Process travel reimbursements to candidates and external service providers Administrative Support: •Assist Director of Housing with scheduling meetings •Create meeting agendas and meeting minutes •Maintain University Housing calendar, policies, and procedures documents •Plan and coordinate, in coordination with the University Housing leadership team, various housing functions and events •Assist with the creating and distribution of departmental communications •Assist in establishing and maintaining an efficient and up-to-date records management system including digital records Facilities Support: •Schedule the use of various meeting rooms available within University Housing, when needed One to three years of progressively responsible experience in budgeting or business management. •Experience with budget management systems, databases, or student information systems. •Demonstrated organizational, communication, and customer service skills. •Ability to manage multiple priorities in a fast-paced environment. •Strong attention to detail and commitment to accuracy.
