ADMINISTRATIVE ASSOCIATE
The University of Alabama at Birmingham (UAB) seeks an ADMINISTRATIVE ASSOCIATE in the School of Engineering to work under minimal supervision, to provide administrative support services and coordinate routine operations within the school which may include the coordination of facilities/space management, repairs and improvements. To conduct special projects relating to office administrative operation at the direction of the supervisor. May be responsible for equipment/furniture repair. Submit OneCard requests for employees and volunteers. Receives, prioritizes and routes incoming mail. Monitors the main telephone system: receives and directs callers, answer inquiries. To interface with internal and external constituencies. May be responsible for equipment and furniture order and coordination.
Key Duties and Primary Responsibilities
Performs general office/administrative tasks. Greets and assists visitors; directs visitors to faculty/staff offices as needed. Receives incoming packages, tracks corresponding receipts/packing slips, and notifies recipients to pick up packages. Receives, prioritizes, and routes incoming mail. Monitors the main telephone system: Receives and directs callers, answers inquiries. Submit OneCard requests for employees and volunteers. Inventories, stocks, and distributes supplies for the departments and staff. Manage the assigned space to optimize operations. Order and coordinate placement of furniture and signage in the building. Assign and facilitate all building access, keys, and card key requests for access to Engineering spaces. Work with Physical Security on aspects of physical security for the buildings, including security cameras and general physical security of doors and windows. Submit maintenance tickets for various repairs; meet with Maintenance staff to get access when needed. Coordinate facility repairs and improvements, including creating facilities project requests and meeting with various contractors about equipment and/or remodel needs. Complete and submit Surplus requests and have property picked up by the UAB Surplus office. Coordinate with relevant Environmental Health and Safety staff to perform the annual safety inspection of the buildings. Document and relay necessary corrections to Engineering faculty and staff. Represent Engineering at Facilities, UAB Police and Public Safety building administrators' meetings. Performs other duties as assigned.
(Annual Salary: $18.35 - $29)
Qualifications
Bachelor's degree in a related field and one (1) year of related experience required or an equivalent combination of relevant education and/or experience.

- Excellent verbal and written communication skills
- Strong organizational skills, with attention to detail
- Knowledge of procurement processes and inventory control
- Strong initiative; with the ability to work under minimal supervision
- Diligent with follow through on assignments.
