Responsibilities
The Administrative Associate serves as the EOAS HR Transactional Rep, providing administrative support for human resource functions.
Responsibilities include:
- Processing personnel actions for EOAS employees including recruiting, hiring, I-9 submissions, job opening packets, reappointments, terminations, etc. for all non-faculty positions. Gathering information from a variety of sources to compile HR appointments each semester, and as needed.
- Creating the Graduate Assistant offer letters in accordance with the Collective Bargaining Agreement.
- Monitoring and tracking HR transactions. Assisting with regular workflow status updates and advising staff and supervisors regarding the status of HR transactions.
- Calculating compensation for OPS employees and maintaining a database of OPS appointments for reconciling purposes and a database of all active appointments for the department.
- Serving as the Liaison to the Global Engagement Center regarding the appointment of international employees.
- Serving as the Time and Leave coordinator for EOAS. Monitoring time entry status and assists with the facilitation of corresponding employee-supervisor time entry, review, and approval process to ensure accuracy and compliance with University standards.
- Working with budget manager to verify the Payroll Active Appointment report to ensure employees are paid correctly. Notifying the appropriate supervisor and budget account manager of problems and working to resolve them.
- Assisting with bi-weekly review of Cost Center Report for accuracy and contacting appropriate personnel on problems and inconsistencies then works to rectify them using the case resolution process.
- Maintaining Department personnel files in compliance with Federal, State and University laws, policies, and guidelines.
- Entering and monitoring Non-Exempt FACET reports for EOAS. Serving as backup for Exempt FACET certification.
Qualifications
High school diploma and three years of experience. (Note: post high-school education and/or experience may substitute at a comparable rate.)

- Experience demonstrating effective customer service skills.
- Experience communicating effectively verbally and in writing.
- Experience establishing and maintaining effective working relationships.
- Experience performing accurately in a detail-oriented environment and meeting deadlines.
- Ability to demonstrate critical thinking and prioritize, organize and perform multiple work assignments simultaneously.

Anticipated Salary Range
