Administrative Associate II
Job Summary
Position provides support for the Associate Dean of Biomedical Sciences and Research, and faculty of the Biomedical Sciences (BMS) department by coordinating the BMS department operations, intramural/extramural funded grants and researchers’ start-up funds including processing expense reports in Concur and payment requisitions, support of expediting acquisition of supplies/materials and coordinating projects. Duties may include monitoring of departmental budget and assisting with the training of department administrative staff.
Classification Pay Scale
In compliance with SB 1162, Western University of Health Sciences is providing a pay scale for this position. The pay scale reflects the minimum and maximum target for new hire salaries for this position. Within this range, the individual pay is determined by a variety of factors, including but not limited to job-related skills, experience, relevant education or training, and work location. Please note that the compensation details listed reflects the base salary only.
Expected Pay Scale
- Minimum: $27.00 Hourly
- Maximum: $27.00 Hourly

Individuals must possess the knowledge, skills, and abilities or be able to perform the essential functions of the assigned classification, with or without reasonable accommodation(s), using some other combination of skills and abilities. Necessary knowledge, skills, and abilities are as follows:
Knowledge of:
- Good verbal, organizational, and written communication skills.
- Must be able to effectively interact with administration, faculty, staff, and students.
- Good computer skills necessary to set up document formats in Word, Excel, PowerPoint, and any other software programs required by the position.
- Ability to communicate with others in person, via telephone, LAN, Internet/Intranet, and e-mail.
- Ability to interact effectively with administration, faculty, staff, students, and the public.
- Ability to maintain confidentiality is essential.
- Experience with modern office hardware and software.
- Ability to listen, speak, and mentor students with regards to improving their Academic Experience.
Skill:
- Flexibility in job assignments to meet departmental priorities and emerging or unplanned initiatives.
- Organizational skills necessary to prioritize workload to meet long and short-term deadlines.
- Excellent oral and written communications skills. Ability to interact effectively with administration, faculty, staff, and students is a top priority.
Ability to:
- Ability to handle detail-oriented assignments with accuracy and consistency, with minimal supervision.
- Ability to work collaboratively and cooperatively with diverse units and personalities within the University.
- Ability to maintain confidentiality is essential.
- Ability to use multiple computer programs as needed to accomplish essential job functions (Microsoft Word, Power Point, Outlook, etc.).
- Ability to effectively utilize distance communication technologies (video/web conferencing) to accomplish tasks.
- Demonstrate a commitment to working in an organization that values and promotes humanism.
Required Qualifications
Education:
- Bachelor’s degree and/or combined experience/education as substitute for minimum education.
Experience:
- 3-5 years of educational and support staff experience in a large, high volume office setting.
Preferred Qualifications
Education:
- Bachelor’s degree.
Experience:
- 5+ years experience as an Administrative Assistant/Associate or Executive Assistant.
