In compliance with SB 1162, Western University of Health Sciences is providing a pay scale for this position. The pay scale reflects the minimum and maximum target for new hire salaries for this position. Within this range, the individual pay is determined by a variety of factors, including but not limited to job-related skills, experience, relevant education or training, and work location. Please note that the compensation details listed reflects the base salary only.

Job Summary
The Administrative Associate, Office of College Affairs, serves as the primary administrative and operational support professional for the Vice Dean of College Affairs in the College of Osteopathic Medicine of the Pacific (COMP). This role manages complex schedules, communications, events, and academic processes while ensuring efficient workflow across the Office of College Affairs. The position requires exceptional organizational skills, confidentiality, professionalism, and the ability to prioritize tasks in a dynamic academic environment. The Administrative Associate collaborates with faculty, administrators, staff, and students to support institutional initiatives and maintain smooth day-to-day operations. Strong judgment, initiative, and attention to detail are essential for success in this role.

Skills:
- Excellent verbal and written communication skills.
- Proven skills in collaboration and relationship building.
- Excellent computer skills are necessary to set up document formats in Word, Excel, PowerPoint, Outlook, Resource Scheduler, and any other software program required by this position.
- Skills with fax, copy machine and telephone operation.
Abilities:
- Must show initiative and implement effective problem-solving skills.
- Should be adaptable and have fine attention to detail.
- Ability to interact effectively with administration, faculty, staff, and students.
- Ability to maintain the highest levels of professionalism and confidentiality.
- Ability to manage multiple projects with accuracy and professionalism.
- Demonstrate a commitment to working in an organization that values and promotes humanism.
Required Qualifications
Education:
- Associate degree plus equivalent experience.
Experience:
- A minimum of 5 years of administrative experience, preferably in higher education or healthcare.
Preferred Qualifications
Education:
- Bachelor’s degree preferred.
Experience:
- Experience supporting senior academic or medical education leaders.
- Knowledge of medical education programs and university operations.
- Experience with procurement systems and contract management workflows.
- Event planning experience in an academic environment.
