Administrative Coordinator - Reach for The Stars STEM Academy
Primary Purpose
The Administrative Coordinator, UOP Reach for the Stars STEM Academy (RFTSSA), is responsible for managing a wide range of administrative tasks. Under the direct supervision of the School of Engineering Assistant Dean for Student Success, the Administrative Coordinator will join the University of the Pacific to facilitate all administrative logistical aspects in planning for the Reach for the Stars STEM Academy (RFTSSA) for the summer of 2026 on the Stockton University of the Pacific campus.
Essential Functions
On-site Management and Outreach Support:
- Support Tomorrow Project Administrator in all administrative functions required prior to the opening of the academy.
- Work with Tomorrow Project Administrator to collect academy data.
- Keep up-to-date records of equipment, materials, maintenance, and supplies.
- Coordinate logistics for ordering classroom instructional supplies, setting up field trips, ordering daily lunches and snacks, etc.
- Maintain up to date reconciled operating budget for academy (not to include personnel costs).
- Plan, coordinate, and oversee other events, such as parent training, community outreach, etc.
- Develop and maintain positive working relationships with students and staff to provide a sense of connectedness with the academy and academy site personnel.
- Provide administrative assistance to team members, including training on new systems and procedures.
- Assist with program marketing and outreach.
Program/Administrative Operations Support Related Responsibilities:
- Serve as a first-stop source of assistance to parents, site administrators, academy classroom teachers, visitors, and other public entities for academy related information.
- Assist with oversight and management of budget and accounting record keeping for the academy.
- Assist with project planning, tracking progress, and ensuring deadlines are met.
- Maintain records, prepares forms, verifies information, and resolves issues requiring knowledge of University and academy processes.
- Oversee academy activity calendar and schedule meetings, fieldtrips, events, etc.
- Provide Ad-Hoc reports as requested.
- Interview, supervise, and train teaching assistants, volunteers, and/or work study students.
- Perform other related duties as assigned or requested.
